The Company A society in Bukit OUG, registered under the Societies Act is now looking to hire a mature and experienced Accounts Executive who shall be responsible for maintaining accurate and up-to-date accounting records. The role supports the Treasurer by ensuring timely processing of financial transactions, maintaining proper accounting records, preparing financial reports, and coordinating with external professional advisers including auditors, company secretaries, and tax agents. The Accounts Executive shall maintain the highest standards of integrity, confidentiality, accuracy, and compliance with applicable accounting standards and statutory requirements. Responsibilities include: 1. Accounting & Bookkeeping · Record all financial transactions accurately and promptly into the accounting system. · Maintain the general ledger and subsidiary ledgers. · Process receipts, payments, journals, and bank transactions. · Maintain accurate records of income, expenditure, assets, liabilities, and reserves. · Perform bank reconciliations and reconcile all control accounts. · Ensure all supporting documents are properly filed and maintained. 2. Financial Reporting · Prepare monthly management accounts and financial reports for review by the Treasurer. · Assist in preparing quarterly and annual financial statements. · Ensure financial reports are completed accurately and submitted within required timelines. · Monitor budgets and report significant variances where necessary. 3. Accounts Administration · Maintain accounts payable and accounts receivable records. · Monitor outstanding receivables and follow up on collections where required. · Prepare payment vouchers, cheques, online payment documentation, and payment schedules. · Maintain proper documentation for all financial transactions. 4. Compliance & Statutory Matters · Liaise with external auditors during annual audits and provide all required schedules and supporting documents. · Coordinate with the Company Secretary on statutory filings and corporate documentation. · Liaise with tax agents on tax computations, tax submissions, and related matters. · Assist in ensuring compliance with all relevant financial regulations, statutory requirements, and internal policies. 5. Internal Control · Ensure proper accounting procedures and internal controls are consistently followed. · Verify the accuracy and completeness of financial records. · Report discrepancies or irregularities promptly to the Treasurer. · Maintain confidentiality of all financial information and Board matters. 6. Administrative Support Assist the Treasurer in preparing financial papers for Board meetings. Attend meetings when requested to provide financial information or clarification. Perform other finance and administrative duties assigned by the Treasurer or the Board from time to time. Requirements 1. Qualifications Diploma or Bachelor's Degree in Accounting, Finance, or a related discipline. Professional accounting qualifications will be an added advantage. Minimum 2 years of relevant accounting or bookkeeping experience. Experience working with non-profit organisations, clubs, or societies is desirable. 2. Knowledge & Skills Good knowledge of accounting principles and bookkeeping practices. Proficient in accounting software (SQL etc.) and Microsoft Excel. Good understanding of Malaysian statutory and tax compliance requirements. Strong numerical and analytical skills. Excellent attention to detail and accuracy. Good organisational and time management skills. Ability to work independently with minimum supervision. Good written and verbal communication skills in English and Bahasa Malaysia. 3. Able to meet deadlines and work under pressure when required. Positive attitude and willingness to learn. 4. Authority Maintain accounting records and process approved financial transactions. Request information and supporting documents necessary to complete accounting records. Liaise directly with auditors, the Company Secretary, tax agents, banks, and other professional advisers on finance-related matters, subject to the Treasurer's oversight. Escalate significant accounting issues or irregularities to the Treasurer immediately. Transfer and Assignment The Employer reserves the right to transfer or assign the Employee to any department or entity associated with the Employer as operational requirements may require. The Employee shall perform any duties reasonably assigned by the Employer. Benefits Employment Type: Contract For Services 2 years Working Days: Monday to Friday Working Hours: 9:00 a.m. – 5:00 p.m. ( Flexible hours can be considered).
