What will you do?

Provide direct support to the SAVI Buildings Service Group primarily, and support other office administration teams in the development, production, and conveyance of Service Group / office administration and other ad-hoc duties.

Working collaboratively with multidisciplinary teams locally and offshore, you will apply sound engineering judgement, Aurecon’s values, and New Zealand design standards to deliver practical, sustainable, and client-focused solutions. This role supports Aurecon’s commitment to bringing ideas to life, creating positive outcomes for communities, and fostering an inclusive, high-performing global workforce. 

 As an Administrative Assistant, the scope of work and role will be as follows:

  • Staff onboarding / departures:
  • Assisting Line Manager with pre-start Onboarding requirements (IT, Hot Desk)
  • New starter checklist, ensuring all new starters are experiencing the same onboarding process as efficiently as possible
  • Update Organizational charts
  • Update email distribution groups & Teams Channels
  • Assisting Line Managers with team departures where required
  • Teams and SharePoint:
  • Mapping out content that needs to be posted as per calendar / team events / announcements
  • Driving content for team engagement via MS Teams and SharePoint.
  • Internal events
  • Liaising with Team / Line Manager on the Event Scope - assisting in sending invitations and monitoring of attendee numbers / dietary requirements
  • Research quotes for catering / other resources if needed
  • Booking meeting / training rooms as required
  • Event Run Sheet Confirmation (as required)
  • Assist with Travel for PL / Staff, seeking approvals required, through to issuing final itinerary ensuring travel needs are being met and in line with Aurecon policy
  • Data processing:
  • Assist in creating suppliers in Workday for processing - Create Supplier Request
  • Assist PL / Staff with credit card expenses as a delegate on Workday
  • Administration / Other SME Tasks:
  • Assist in editing / formatting / proofreading reports / assist in PowerPoint presentations
  • Aconex - Set up and maintenance of new accounts
  • Coordinating with training requirements. I.e. Facilitate and advise. Staff member is responsible of ETA's and seeking approvals with payments
  • Miscellaneous:
  • Monitor PPE of team to ensure everyone has what they need and expiring items are replaced before they expire
  • Update/Monitor general SAVI Buildings Office Calendar
