Title: Administrative Assistant
Department: Language & Literature and Social & Behavioral Sciences
This full-time Administrative Assistant position provides administrative assistance to the Dean, Coordinators, and Faculty to ensure efficient and professional day-to-day office operation for the School of Language & Literature and the School of Social and Behavioral Sciences.
JOB RESPONSIBILITIES
Provide front desk reception and information for current and prospective students
Assist with inquiries in-person and via telephone/email
Connect students with resources or make appropriate referrals in person, by e-mail, and by phone
Support ordering of textbooks for both Schools
Assist with entering and adjusting scheduled courses and reserving rooms
Assist with canceling courses and contacting students to assist with finding new courses
Process and maintain a record for all students needing clearances for classroom observations and fieldwork placements
Support reading and composition placements procedures
Complete additional administrative tasks as requested by the Dean as needed
MINIMUM QUALIFICATIONS
Associate’s degree
1-3 years of experience in a professional office environment
Excellent organizational skills with strong attention to detail
Ability to obtain and coordinate complex college information, such as course offerings, requirements, instructional materials, and placement information
Strong technical skills, including proficiency in MS Office, especially Word, Excel and Outlook
Ability to communicate effectively, verbally and in writing, with a varied faculty and student population, as well as with outside entities
Ability to work effectively in a fast-paced office environment
Ability to maintain professional confidentiality; adhere to FERPA regulations
PREFERRED QUALIFICATION
Experience using a data management system, such as Workday or Colleague.
HOURLY RANGE $21.8979 - $23.4308 (commensurate with experience)
