Responsibilities / Tasks
Professionally answer main telephone line, screen, and direct calls. Monitor main line voice messages.
Ensure customers, clients, candidates and other visitors experience a professional, welcoming and friendly reception, both in person and on the phone: advise appropriate staff member.
Receive and distribute deliveries, incoming mail, posting and delivering of outgoing mail daily.
Manage office and kitchen supplies by checking stock to determine inventory levels anticipating needed supplies, placing and expediting orders for supplies, place special orders as needed
Process together with IT office badges for new employees
Issue badges to visitors
Keep internal employee list updated including staff telephones.
Monitor and maintain office equipment: copier, scanner, etc
Assist in GEA events, including managing RSVP lists, attending events, providing registration support and assisting with events as necessary (rental location, lists, catering, parking, reservations, etc)
Responsible to organize weekly office caterings
Book travel arrangements as needed
Engage with catering providers
Develop and maintain a filling system
Support in getting equipment and other materials for new staff members
Act as point of contact for internal and external clients
As needed, handle expense reports
Coordinate and respond to facility inquiries and liaison with vendors
Manage conference rooms as needed when large events are held at the office
Manage all posts, couriers, security lists and building access request
Support I9 verification
Other duties as assigned.
Your Profile / Qualifications
Excellent skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, define and set priorities and good problem solving.
Ability to take initiative with projects to work both independently and as a team member.
Excellent verbal and written skills
Proficiency in Microsoft Office, SAP is a plus
Other Skills and Competence
Proven customer skills, ability to deal with internal and external in a professional manner.
Oversee daily interaction with customers and executives, handling special requests as needed
Planning
Discretion due to management of sensitive information
Ability to work with multiple business groups (building management, equipment provides, security, etc)
Assist with procurement and contract management for any 3rd parties to the office including cleaning company, confidential waste and office supplies,
Enjoy receptionist work
Notary Public for the State of Wisconsin is a plus
