AIFM Fund Distribution and Marketing Officer

About the role:
As an Associate in Fund Distribution and Marketing, you play a vital role in supporting the funds distribution and marketing for the managed alternative investment funds across Europe and worldwide. You assist in the daily operations of marketing activities of the funds in line with applicable EU and local regulations (AIFMD, CBDF Regulation), ensuring that all necessary documentation and processes align with regulatory standards. By collaborating closely with senior members and third-party intermediaries , you assist the fund marketing process and contribute to the monitoring of the distribution network. Your analytical skills and attention to detail will be crucial in monitoring the performance of the funds distribution activities
This position is based in Luxembourg and reports directly to the Conducting Officer in charge of the UCI Distribution and Marketing.
Key Responsibilities:
- Review of the pre-marketing material available to potential investors, and ensure proper sign-off before the sharing of marketing material to external parties
- Preparation of the (pre-)marketing notifications for CSSF
- Identification and monitoring of the funds distribution channels
- Review of the marketing material , it includes the review of the LPA/PPM to ensure there is no restriction for some investors
- Preparation and sending of the payment instruction of the upfront fees, and regular mandatory fees, at AIFM and funds level
- Ensure the SFDR is properly implemented, including update of the AIFM website
- Due diligence review on parties involved in the funds distribution and review of the KPIs
- Ensure the eligibility process is properly implemented
- Preparation of reports for the Board and conducting officers covering any issue/concern related to the (pre-)marketing activities
- Perform a regulatory watch for matters related to (pre-)marketing. It covers the analysis of the CSSF circulars and FAQ related to cross-border distribution to ensure the policies and procedures are up to date
- Annual maintenance of the marketing policies/procedures
- Ensure proper registration and adequate passporting process for fund distribution across jurisdictions, including notification and de-notification procedures
- Review of the marketing materials disclosed to third parties and investors to ensure regulatory compliance and alignment with the fund’s documentation
- Escalate identified issues during the monitoring period to the conducting officers to facilitate appropriate actions.
Requirements
Skills & Behaviours:
- Strong ability to focus on key matters related to funds distribution and marketing across Europe and worldwide .
- Ideally familiar with the CSSF notification forms (via Edesk)
- Knowledge of investors eligibility criteria applicable to private equity funds.
- Effective verbal and written communication in English; knowledge of additional languages is an asset.
- Detail-oriented and capable of managing multiple tasks while maintaining high standards of work.
