OVERVIEW OF THE DEPARTMENT/SECTION
- Global Corporate and Investment Banking EMEA, including UK & Ireland Coverage, Global Subsidiary Banking and Growth and Middle Market Technology.
- Teams are responsible for regular dialogue with the clients to understand what their strategic priorities are.
- Understand the industry and ever-evolving economic backdrop that the client works in, as well as how this affects their business.
- Ensure all stakeholders are aligned around this when originating ideas and solutions.
MAIN PURPOSE OF THE ROLE
- Provide day to day administrative support to the Deputy Head of GCIB and UK & Ireland Coverage, Global Subsidiary Banking and Growth and Middle Market Technology teams.
KEY RESPONSIBILITIES
- Provide support Head of Departments and Team Leaders as required, including:-
- Oversee the day to day team administrative workflow.
- Diary Management, including meeting co-ordination both external and internal.
- Travel & entertainment, adhering to MUFG policies;
- Timely completion of appropriate expense claims
- Monitor, report and manage the cost centre, especially areas such as travel, entertainment and training
- Liaise with various other stakeholders across different divisions (e.g. credit, front office, systems, audit, operations)
- Implementing new controls and processes
- Co-ordinating intra department meetings, meeting room and desk bookings.
- Complete adhoc tasks and projects as required.
- Organise new joiners/leavers, system requests, IT equipment etc.
- Developing and maintaining strong relationships with key stakeholders within MUFG both regionally and globally
WORK EXPERIENCE
Essential:
- Proven experience as a PA of supporting multiple individuals/large teams in either the financial industry or in a similar industry
SKILLS AND EXPERIENCE
Functional / Technical Competencies:
Essential
- Experience in PA role or business support
- Strong numerical, written and verbal communication skills, ability to communicate effectively at all levels
- Ability to multi-task and manage ever changing and often conflicting priorities;
- Ability to work with a high level of motivation and initiative
- Good financial and business planning capability
- Detail conscious, ensuring reliability at all times, and committed to producing high quality and professional work in a team environment
- Ability to deal with people of all types and personalities at all levels
- Good written communication – especially important due to the interaction with senior management
- Good IT skills – particularly Excel and PowerPoint
Education / Qualifications:
Essential
- Schooling up to GCSE or A Level equivalent or equivalent work experience
