About this role

Make a difference.

As a Branch Administrator, you will provide centralized administrative support for Graybar Zone and Service Center locations across the United States. This role is responsible for validating and processing freight and material vendor invoices for assigned locations, researching billing discrepancies, managing invoice workflow exceptions, performing monthly reporting and reconciliations, and supporting other administrative functions that contribute to efficient Graybar operations.

In this role you will:

  • Review, validate, and process freight and material vendor invoices for Graybar Zone and Service Center locations while maintaining accurate documentation, workflow records, and audit trails.
  • Research and resolve freight billing discrepancies, overcharges, duplicate payments, and invoice exceptions.
  • Verify vendor invoice data against purchase orders, delivery documents, and carrier records utilizing Graybar systems, including SAP.
  • Process outbound freight billing adjustments, including customer debits and internal freight debit allocations, while ensuring proper approvals and documentation.
  • Communicate often with Graybar service centers, branches, carriers, suppliers, and internal departments, including Sales and Cost Services, to resolve invoice and freight-related issues.
  • Run monthly reports, research and reconcile open aging items.
  • Support process improvement initiatives and operational efficiencies.
  • Perform additional administrative duties as assigned.

What you bring to the table:

  • High school education
  • 6+ months of related experience preferred
  • Knowledge of computer systems; SAP experience preferred
  • Attention to detail, data entry and organizational skills
  • Ability to interface and work well with all levels of employees and management

Shift and Hours:

Monday - Thursday: 6:30 am to 4:30 pm

Friday: 6:30 am to 10:30 am

Compensation Details: The expected starting rate of pay for this position is $20.00 per hour, depending on experience.
