Duties & Role:  

Under the direction of the Principal Assistant (Supply & Transport) the incumbent will perform duties such as the following:

Transport:

  • Manage NCIA vehicle assets, ensuring that inspections and maintenance are carried out and that all insurance papers and other documentation are current.
  • Advise the Principal Assistant (Supply & Transport) when a vehicle is required to be out of regular service.
  • Maintain transport statistics for Agency vehicles including mileage, petrol use, maintenance issues, costs and produce monthly reports.
  • Serve as an official courier for the Agency.
  • Undertake driving duties involving movement of passengers and material when required. This may involve shuttle services to other locations and overnight stays when required.
  • Provide on-call driving duties as required by the Principal Assistant (Supply & Transport).
  • Investigate damages to Agency vehicles and make recommendations regarding repair.
  • Assist with lifecycle management of all NCIA vehicles including research and recommendations on new vehicles.
  • Perform periodic roadworthiness inspections of vehicles.

Supply/Inventory:

  • Prepare necessary documentation for the movement of material.
  • Maintain a small stock of consumable office supplies to support NCIA Brussels staff.
  • Work in conjunction with the Supply Section in The Hague to update the supply catalogue of standard stock items.
  • Assist in the annual inventory of non-expendable items.
  • Assist in the annual inventory of expendable and stock items.

Finance:

  • Perform day to day administration of the advance account (petty cash).
  • Provide inputs for annual budget call for consumable stock account.
  • Develop a recommended spending plan upon receipt of annual consumable budget.

Travel:

  • Assist in reserving rental vehicles or reserving NCIA vehicles.
  • Verify travel invoices using the Agency's financial system.

Other Responsibilities:

  • Performs other duties as may be required.

Requirements

Skills, Knowledge & Experience:

  • The candidate must have a currently active NATO SECRET security clearance
  • A good general secondary education.
  • At least 3 years relevant experience.
  • Valid driver's license and a good driving record for vehicles in the following categories: vehicles up to 8 passengers and vehicles with small trailers.
  • Excellent computer skills.
  • International driving experience.

Desirable Experience and Education:

  • Working knowledge of motor pool operations.
  • Experience in supply/inventory operations.
  • Training in First Aid at work.
  • Prior experience of working in an international environment comprising both military and civilian elements.
  • Knowledge of NATO responsibilities and organization, including ACO and ACT.
