Working within our Engineering & Facilities Management team, the Contractor and Administration Coordinator is responsible for coordinating, monitoring, and supporting all contractor activities on site to ensure work is delivered safely, efficiently, and in accordance with contractual obligations.

This position acts as a key liaison between contractors and internal departments, ensuring clear communication, effective scheduling, and alignment with operational needs.

The role requires strong organisational skills, excellent communication, attention to detail, and the ability to proactively manage competing priorities in a dynamic environment.

Key Responsibilities:

  • Maintain contractor schedules and liaise with relevant departments to avoid operational disruption.

  • Conduct contractor inductions or ensure induction requirements are met prior to work commencing.

  • Maintain accurate records of contractor attendance, work permits, documentation, and compliance forms.

  • Communicate planned work, shutdowns, or disruptions to internal stakeholders in advance.

  • Maintain documentation for audits, inspections, and compliance reviews.

  • Report and support the investigation of incidents, hazards, and near misses involving contractors.

About you

  • Experience coordinating contractors or working in a compliance, administrative, or facilities support role.

  • Understanding of contractor management processes, WHS practices, and work permit systems.

  • Ability to manage competing priorities and maintain attention to detail.

  • Highly reliable, proactive, and solutions-focused

  • Competent with digital tools and contractor management platforms.
