Job Description
Provides administrative and clerical support for the O and P Department. Receives and schedules patients, inter and intradepartmentally. Answers telephones, logs and monitors staff hours, maintains databases, monitors and analyzes performance improvement indicators. Prepares written correspondence, reports, and other departmental forms. Shriners Portland is looking for a Department Assistant III to join the O and P team!
Key Responsibilities:
Coordinates staff scheduling with patients and/or other departments utilizing various scheduling procedures, including computerized programs currently in use by the Hospital.
Provides departmental telephone support; announces and/or routes telephone calls/messages, as appropriate.
Maintains the Department’s inventory of office supplies.
Organizes, prioritizes, and accomplishes assigned tasks within established time frames and formats; maintains information retrieval systems which provide access to documents within four minutes.
Records notes at departmental meetings; accurately produces and distributes meeting minutes within established distribution time schedule.
Tracks and maintains Performance Improvement and patient data through computer systems utilizing word processing, spreadsheets, and database programs currently in use by the Hospital; assists in the analysis of data gathered through these processes; reports monthly information to appropriate individuals by the 4th of each month.
Required Qualifications:
1 year Computer applications, typing, general office skills
Preferred Qualifications:
High School Diploma/GED
Associate in related field
2 years Secretarial/receptionist experience
1 year Scheduling, registration and insurance verification
1 year Medical background
