Job Description

We are seeking a highly organized, proactive, and trusted Executive Assistant to provide comprehensive support to the Managing Director and Saudi Leadership Team. In this role, you will serve as a key partner in enabling effective leadership operations, ensuring seamless coordination across stakeholders, and supporting the delivery of high-impact business priorities. The ideal candidate will bring strong executive presence, exceptional discretion, and the ability to manage complex priorities in a dynamic, fast-paced environment.

Key Responsibilities

Executive & Office Support

  • Provide proactive administrative support to the Managing Director, including calendar management, correspondence, documentation, and daily office operations.
  • Prepare high-quality reports, presentations, and corporate materials.
  • Maintain organized filing systems and support efficient office administration.

Leadership & Stakeholder Coordination

  • Act as a liaison for the Saudi Leadership Team, facilitating collaboration across functions and stakeholders.
  • Support communication and coordination with internal and external partners.
  • Serve as a trusted and confidential member of the Leadership Team.

Meeting & Governance Management

  • Coordinate leadership meetings, including agendas, materials, minutes, and action tracking.
  • Support Business Reviews, Town Halls, and leadership forums to ensure effective execution and follow-through.

Travel & Expense Management

  • Manage domestic and international travel arrangements, visas, itineraries, and accommodations.
  • Process expenses, support budget tracking, and liaise with vendors in compliance with company policies.

Events & Engagement

  • Plan and deliver leadership visits, employee events, and engagement activities.
  • Organizing all senior management team visits to Saudi and all Saudi Leadership team away days/team building sessions
  • Coordinate regional and global leadership visits with strong cultural awareness and professionalism.

Confidentiality & Compliance

  • Handle sensitive information with discretion and professionalism.
  • Ensure compliance with company policies, processes, and administrative standards.

Projects & Continuous Improvement

  • Support special projects and operational improvement initiatives.
  • Leverage digital tools and collaboration platforms to enhance efficiency and ways of working.

Additional Projects:

Partner with HR on organizational development and design initiatives supporting employee development programs that enhance organizational capability and support long-term career growth.

Requirements

  • Minimum 5 years of experience supporting senior executives (Senior Director / Executive level).
  • Proven experience in executive administration, office management, and leadership support.
  • Strong organizational and prioritization skills, with the ability to manage multiple competing demands.
  • Excellent written and verbal communication skills, with strong stakeholder engagement capabilities.
  • Advanced proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint) and digital collaboration platforms.
  • Demonstrated experience in:
    • Complex calendar and travel management (including visas)
    • Event planning and coordination
    • Expense management and budget tracking
  • High level of integrity, discretion, and professionalism.
  • Strong attention to detail, problem-solving capability, and ability to anticipate needs.
  • Cultural awareness and ability to work across diverse teams and geographies.
