About the role:
 

                  

Reports to the Client Relationship Manager

This role will support the day-to-day administration of Fund of Funds structures within the Fund Management team. The role is responsible for processing, monitoring, and reconciling investment transactions across underlying funds, ensuring accurate records, timely cash movements, effective coordination with internal and external stakeholders, and compliance with fund procedures, investor requirements, and regulatory obligations.
 

The role requires strong attention to detail, sound operational judgement, and the ability to manage multiple transaction workflows in a deadline-driven environment. The successful candidate will help ensure that capital calls, distributions, subscriptions, redemptions, transfers, reconciliations, and reporting inputs are completed accurately and efficiently across a multi-layered Fund of Funds platform.

Key Responsibilities:

  • Process and monitor Fund of Funds transaction activity, including capital calls, distributions, subscriptions, redemptions, transfers, drawdowns, equalizations, and related cash movements.

  • Maintain accurate transaction records across fund administration systems, tracking schedules, investor files, and supporting documentation.

  • Coordinate with underlying fund administrators, custodians, banks, investment teams, finance teams, legal teams, and external service providers to facilitate timely transaction execution.

  • Review transaction notices, supporting documents, bank details, call and distribution calculations, and settlement instructions for accuracy and completeness.

  • Assist with cash management activities, including monitoring expected receipts and payments, preparing payment instructions, tracking settlement status, and escalating delays or exceptions.

  • Perform reconciliation of transactions, cash, positions, capital accounts, and underlying fund statements, investigating and resolving discrepancies promptly.

  • Support investor reporting by gathering transaction data, validating inputs, maintaining audit trails, and contributing to quarterly and annual reporting packs.

  • Assist with onboarding and maintenance of underlying fund relationships, including subscription documentation, Know Your Customer and anti-money laundering documentation, tax forms, and other operational requirements.

  • Maintain compliance with internal controls, fund governing documents, policies, approval workflows, and applicable regulatory requirements.

  • Support audit, tax, regulatory, and due diligence requests by preparing schedules, sourcing documentation, and responding to information requests accurately and on time.

  • Identify opportunities to improve transaction processes, controls, templates, trackers, and communication flows across Fund of Funds operations.

  • Ensure all transaction files and records are organized, complete, and maintained in accordance with document retention and governance standards.

Skills and Competencies:

  • High degree of accuracy, attention to detail, and ownership of work product.

  • Strong organizational skills with the ability to manage multiple deadlines, priorities, and transaction streams.

  • Good understanding of fund administration, investment operations, or private markets fund structures.

  • Ability to review financial information, transaction notices, investor documentation, and reconciliation outputs with care and precision.

  • Strong written and verbal communication skills, with the ability to liaise professionally with internal teams, external administrators, banks, auditors, and other service providers.

  • Proactive approach to issue resolution, escalation, and continuous process improvement.

  • Sound judgement, confidentiality, and commitment to maintaining robust operational controls.

  • Proficiency in Microsoft Excel, Word, Outlook, and fund administration or portfolio management systems.

Experience and Qualifications:

  • ~2+ years previous experience in fund administration, investment operations, fund accounting, asset management operations, private equity, venture capital, fund of funds, or a related financial services environment is preferred.

  • Experience processing or reviewing capital calls, distributions, subscriptions, redemptions, transfers, reconciliations, or cash settlement activity is advantageous.

  • Familiarity with Fund of Funds structures, limited partnership agreements, investor reporting cycles, and underlying fund documentation is desirable.

  • Studying toward or holding a relevant qualification in finance, accounting, business, economics, or a related discipline is preferred but not essential.

  • Strong Excel skills, including working with reconciliations, trackers, formulas, and large data sets, are beneficial.
