We're looking for a detail-oriented, proactive HR Operations Specialist to join our HR Ops team, reporting to the Manager, HR Operations. You'll take ownership of onboarding, offboarding, and office management, while supporting core HR operations and employee experience initiatives. You'll also play a key role in ensuring accurate, on-time payroll for our Canada and Poland teams, in line with local regulations and internal policies.
HR Operations
Lead the pre-onboarding and onboarding process for new hires
Support the offboarding process in collaboration with IT and HR leadership to ensure a smooth transition for departing employees
Support the maintenance and accuracy of employee records in Dayforce and weekly reports to HR Leadership
Support the administration of employee benefits programs, including enrolments, changes and terminations
Serve as a first point of contact for general employee inquiries related to HR policies, procedures, escalating as needed
Support compliance with employment standards and labour legislation across Canada and Poland, in partnership with HR leadership
Payroll
Manage and execute payroll cycles, ensuring accuracy, compliance, and on-time delivery for teams in Canada and Poland
Calculate payroll data including hours, earnings, deductions, taxable benefits, adjustments
Process payroll remittances, including federal, provincial, and third-party obligations (e.g. WCB, pensions, social insurance and other statutory obligations)
Support Finance with payroll accounting tasks, including reconciliations, and reporting
Oversee year-end payroll activities, including federal and provincial filings, reconciliations, and tax slips
Process terminations, including preparing Records of Employment and calculating final pay
Serve as a point of contact for payroll inquiries, responding to employees and stakeholders with accuracy and professionalism
Liaise with payroll vendors and government agencies to maintain compliance and resolve issues
Prepare documentation and maintain accurate records to support audits
Contribute to payroll projects and process improvements
Office Management & Employee Experience
Monitor office inventory and supplies, and coordinate weekly staff lunch orders
Plan and execute onsite and offsite social events for the team
Post-secondary education in Human Resources, Business Administration or equivalent experience in a related field
3+ years of experience in HR and payroll administration, ideally within a multi-country environment
Solid understanding of payroll legislation, tax regulations, and compliance requirements
Experience with HRIS systems; familiarity and working knowledge of Dayforce is a strong asset
High attention to detail with strong accuracy and organizational skills
Discretion in handling sensitive and confidential information
Excellent written and verbal communication skills
Proficiency with Google Workspace, Microsoft Office Suite (especially Excel), and payroll/HRIS software
A collaborative team player who can also work independently and manage competing priorities
Payroll Compliance Practitioner (PCP) Designation in progress or completed considered an asset
Our pay ranges reflect the minimum and maximum target for new hire pay for the full-time position determined by role, level, and location.The pay range shown is based on our compensation structure in place at the time of posting and may be updated periodically based on business needs. Individual pay is based on additional factors including job-related skills, experience, and relevant education and/or training.
The targeted pay range listed reflects the base pay only and does not include bonus, or other benefits.
