Department: Human Resources

Work Arrangement: 100% onsite

Schedule: Monday-Friday, 8:30am-5:00pm, with occasional flexibility to work earlier or later as needed.

Position Summary

Driscoll Children’s Hospital is seeking an organized, detail-oriented HR Regulatory Specialist to join our Human Resources team! This position supports the day-to-day administration of HR regulatory and compliance activities, including employee onboarding, credential tracking, competency assessments, Workday documentation, contract staff administration, and organizational survey readiness.

The HR Regulatory Specialist works closely with employees, candidates, physicians, contract staff, leaders, and other HR team members to ensure records are accurate, requirements are completed on time, and processes comply with hospital policies and regulatory standards.

Responsibilities

  • Coordinate pre-employment onboarding activities, including appointments, identification verification, badge photographs, and required screenings.
  • Support onboarding for new employees, physicians, contract staff, and medical residents.
  • Review candidate and employee information before hire, transfer, promotion, or other job changes to ensure requirements are met.
  • Complete and maintain employee information in Workday, including I-9 documentation, education, licenses, certifications, job descriptions, competencies, and name changes.
  • Schedule orientation and required transfer, promotion, and annual competencies.
  • Track, verify, and report on employee licenses, certifications, work authorizations, visas, and competency assessments.
  • Follow up on missing, incomplete, or expired documentation and ensure records are accurate and current.
  • Assist with ongoing regulatory compliance and survey readiness for The Joint Commission, URAC, and other regulatory agencies.
  • Support HR audits, reporting, policies, procedures, and job description updates.
  • Coordinate administrative and recordkeeping activities for contract staff, including onboarding, orientation, competency tracking, and monthly reporting.
  • Create employee and contractor badges for new hires, physicians, department transfers, and title changes.
  • Assist with maintaining accurate paper and electronic personnel files.
  • Prepare monthly employee and contract staff sanction reports.
  • Process education documentation and eligible education incentives for BSN- and MSN-prepared employees.
  • Assist with HR regulatory projects and other department initiatives as needed.
  • Maintain the highest level of confidentiality and follow hospital compliance, ethics, and integrity standards.
  • Other duties as assigned.

Qualifications

  • Associate degree or equivalent from a two-year college, or three plus years of job-related experience required.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple deadlines, records, and follow-up activities.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information appropriately.
  • Experience with HR systems, employee records, onboarding, regulatory compliance, or healthcare is preferred.
