About this role
Summary
Provides administrative and operational support to the Talent Acquisition team, with a primary focus on coordinating pre-hire onboarding activities and delivering excellent customer service to candidates. This position requires exceptional attention to detail, the ability to manage multiple priorities and deadlines, and the flexibility to adapt to changing business needs. The role works closely with candidates, recruiters, and internal partners to ensure onboarding requirements are completed accurately, efficiently, and in compliance with established policies and timelines.
Targeted Pay Range: $53,500 - $60,000 (Depending on qualifications and experience)
Work Schedule: 8am – 5pm Monday - Friday
After an initial training period, an optional hybrid work schedule is available
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Pre-Hire Onboarding and Compliance: Facilitate the pre-hire onboarding process for all new hires, ensuring all documentation is completed accurately and in compliance with E-Verify timelines, background check and drug screen requirements. Research any anomalies or issues.
External Postings: Manage the posting of job openings on various external job boards and platforms.
ID Badge Issuance: Issue and manage employee ID badges, ensuring proper documentation and security protocols are followed.
Skills Testing Coordination: Coordinate and schedule skills testing for candidates as part of the recruitment process.
Talent Acquisition Main Line: Answer and manage the Talent Acquisition main line, providing assistance and directing inquiries as needed.
Email Management: Assign and monitor incoming emails to the Talent Acquisition team, ensuring timely and appropriate responses.
Additional ad hoc projects and tasks as assigned in support of talent acquisition/management initiatives.
Minimum Qualifications
Associates degree in human resources, business administration, or related area
2 years related experience.
Or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.
Preferred Qualifications
Education/ Experience:
Bachelor’s Degree or equivalent college coursework in related area
4-6 years’ experience in human resources
Experience using Workday Recruiting
Knowledge, Skills & Abilities:
Strong understanding of HR operations, including pre-hire onboarding, E-Verify compliance, background checks, and drug screening processes.
Knowledge of federal and state employment laws, particularly regarding onboarding, E-Verify, and workplace security protocols.
Knowledge of best practices in customer service, ensuring a positive experience for visitors and employees.
Intermediate skills in Microsoft 365 (Word and Excel)
Familiarity with HR software, applicant tracking systems, email ticketing systems, and office management tools.
Ability to answer online phone system and maintain flow of visitors
Knowledge of and skill to use Applicant Tracking System (ATS)
Proficient oral and written communications skills, with the ability to resolve complex customer issues
Ability to multitask and organize effectively, re-prioritizing as needed due to changing conditions
Ability to adapt to various working environments
Ability to work independently and/or in a team environment
Licenses and Certifications
Valid Class C Texas driver's license
