We are seeking an organized, dependable, and detail-oriented Intake Coordinator to support patient intake, daily office operations, clinical coordination, and basic human resources tasks. The ideal candidate will be comfortable managing multiple responsibilities, communicating with patients and healthcare professionals, and working within several computer systems.
Responsibilities
Patient Intake
- Collect patient information, including name, date of birth, contact information, Social Security or Medicare number, code status, and important alerts.
- Verify insurance benefits and create accurate patient charts.
- Request medical records and follow up on missing intake documents.
- Create patient profiles in communication, pharmacy, medical equipment, and clinical documentation systems.
- Coordinate and order necessary durable medical equipment.
- Upload all patient records and documents into the electronic medical record.
- Keep the clinical team updated throughout the intake process.
Administrative Support
- Answer incoming calls and route messages to the appropriate team member.
- Manage office phone coverage as assigned.
- File, scan, fax, and organize paperwork.
- Update shared calendars, documents, spreadsheets, maps, and tracking reports.
- Prepare and send documents through DocuSign.
- Assist with productivity reporting, office projects, and basic social media tasks.
Human Resources Support
- Track new-hire progress through the onboarding process.
- Complete reference checks and initiate background checks.
- Assist with recruiting, reviewing applicants, and scheduling interviews.
- Help gather and review information needed for biweekly payroll.
Clinical Support
- Send physician orders after confirming they have been signed.
- Process referrals for services such as podiatry, ophthalmology, physical therapy, occupational therapy, and speech therapy.
- Contact medical equipment vendors regarding broken, missing, or no-longer-needed equipment.
- Print, fax, and distribute medication lists and other clinical documents.
Requirements
Qualifications:
- Previous experience in healthcare intake, hospice, home health, or a medical office is preferred.
- Strong organizational, communication, and customer-service skills.
- Comfortable using multiple computer programs and learning new systems.
- Ability to manage changing priorities and complete tasks accurately.
- Professional when communicating with patients, families, providers, vendors, and team members.
- Ability to maintain confidentiality of patient and employee information.
- Experience with electronic medical records, insurance verification, or medical terminology is a plus.
