Your Role:

As an IT License Administrator, you will be responsible for managing the end-to-end software license lifecycle, from request intake and procurement to registration, compliance monitoring, and renewals. You will collaborate closely with IT, Procurement, Finance, and business stakeholders to ensure software requests are processed efficiently while maintaining compliance with internal governance standards and vendor licensing agreements.

What you will do/Key Responsibilities:

  • Manage day-to-day software license administration activities across the organization.

  • Process software license requests received through the IT Service Management (Topdesk) platform.

  • Gather business requirements and obtain quotations from software vendors.

  • Coordinate with Procurement and Finance teams to execute software purchasing activities.

  • Process purchase orders within ERP systems to enable receiving and invoicing activities.

  • Support procurement of new software licenses, renewals, and additional license purchases.

  • Track software contracts, renewal dates, and license expirations.

  • Register and maintain software license information within the Software Asset Management (SAM) system.

  • Monitor software usage and ensure compliance with licensing agreements and internal policies.

  • Maintain accurate license records, agreements, and supporting documentation.

  • Support software license renewals, registrations, and lifecycle management.

  • Monitor license utilization, costs, compliance risks, and opportunities for optimization.

  • Ensure software asset data remains complete, accurate, and up to date.

  • Support internal and external software license audits by preparing required documentation.

  • Assist in implementing corrective actions arising from audit findings.

  • Generate reports on software license usage, compliance status, and operational risks.

  • Guide end users on software request processes and licensing procedures.

  • Communicate updates related to licensing policies, tools, and operational processes.

  • Collaborate with IT, Procurement, Finance, and vendors to improve license management processes.

What you bring:

  • Vocational education (MBO) level or equivalent working and thinking ability.

  • Experience supporting procurement, purchasing, invoicing, or financial administrative processes.

  • Strong interest in IT, particularly software licensing, software asset management, and contracts.

  • Good understanding of procurement and operational administrative processes.

  • Excellent organizational skills with strong attention to detail.

  • Strong communication and stakeholder management skills.

  • Proficiency in Microsoft Office applications (Excel, Word, Outlook, etc.).

  • Experience working with IT Service Management (ITSM) tools such as Topdesk is preferred.

  • Knowledge of ERP systems such as JD Edwards is desirable or willingness to learn.

  • Good written and verbal communication skills in English (Dutch is an advantage).
