The Leisure Coordinator provides administrative, operational, and commercial support to the Leisure Sales team, ensuring efficient management of travel trade partnerships, contracting processes, account tracking, and sales administration. As a key administrative support to Sales Team which requires the careful, organizational mindset, attention into details person.
Bases in Area Office in Hoi An and in charge of all cluster properties Anantara Quy Nhon Villas, Avani Quy Nhon Resort & The Vietage by Anantara.
Travel Partners Communication
- Handle generic correspondence with travel trade partners, including travel agencies, tour operators, DMCs, wholesalers.
- Respond to routine inquiries and provide sales collateral, factsheets, rates, and promotional information as required
Contract Administration
- Manage the tracking, preparation, issuance, and filing of leisure contracts.
- Track and update the Account production as required.
- Maintain organized contract records and documentation on weekly basis
Sales Administration & Database Management
- Update and maintain partner databases, account profiles, and contact information.
- Update weekly sales activities (FAM, Inspection)
- Assist in preparing reports, presentations, and sales documentation.
- Support the Leisure Sales team with administrative and coordination tasks.
- Update roster, Oracle infusion for expense and purchase order
- Manage the inventory of gift materials
Account & Production Tracking
- Monitor account production and maintain production tracking reports.
- Assist in compiling room night production data and performance summaries.
Barter & Partnership Tracking
- Maintain records of barter agreements and marketing partnerships.
- Track deliverables, benefits, validity periods, and utilization of barter arrangements.
- Ensure supporting documentation is properly filed and updated.
Travel Documentation & Voucher Management
- Prepare and manage travel-related documentation for partners, guests, and sales activities.
- Issue, track, and maintain records of vouchers, complimentary stays, and special arrangements.
- Ensure all documentation complies with company policies and approval processes.
FAM Trips & Site Inspections
- Maintain a FAM trip calendar and alert the sales team of upcoming opportunities.
- Coordinate and record FAM trip activities, participant details, and outcomes.
- Assist in planning and preparing itineraries, inspection schedules, and site visits.
- Coordinate with operational departments to ensure seamless execution of inspections and FAM trips.
- Maintain records and reporting related to FAM visits and educational trips.
- Conduct the inspection when requested
Team Support
- Provide administrative support to the Business Development Director (BDD), Director of Sales (DOS)
- Support special projects, campaigns, and initiatives as assigned.
Qualifications & Skills
- Diploma or Bachelor's degree in Hospitality, Tourism, Business Administration, or a related field.
- Previous experience in hospitality sales coordination, reservations, administration, or travel trade support preferred.
- Strong organizational and administrative skills with high attention to detail.
- Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Good written and verbal communication skills in English.
- Ability to manage multiple priorities and meet deadlines.
- Experience with CRM systems, sales reporting, and hotel systems is an advantage.
- Open to learn and adjust to the agile work environment
