Job Description

We are seeking a motivated and highly organized individual to join our team as a Director Assistant. As the Director Assistant, you will provide comprehensive administrative support to our executive leadership, ensuring the smooth and efficient functioning of daily operations. This role offers a unique opportunity to work closely with the Director, contribute to strategic decision-making, and gain valuable exposure to leadership and management processes.

Qualifications

Responsibilities:

  • Coordinate and manage the Director's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Prepare and organize documents, reports, and presentations for internal and external meetings.
  • Assist in conducting research and gathering relevant information to support decision-making processes.
  • Handle incoming communications, screen phone calls, and manage email correspondence on behalf of the Director.
  • Collaborate with cross-functional teams to facilitate effective communication and coordination.
  • Take minutes and distribute meeting agendas, ensuring timely follow-up on action items.
  • Maintain confidential information and handle sensitive matters with utmost professionalism and discretion.
  • Assist in organizing and coordinating company events, conferences, and workshops.
  • Undertake ad-hoc administrative tasks and projects as assigned.

Requirements:

  • Proven experience as an administrative or executive assistant, preferably in a fast-paced environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and the ability to maintain accuracy while working under pressure.
  • Excellent verbal and written communication skills in English (additional languages are a plus).
  • Proficiency in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills and the ability to collaborate effectively with colleagues at all levels.
  • Flexibility and adaptability to changing priorities and requirements.
