This role is central to maintaining smooth office functionality, supporting leadership, and driving internal and external communications—including social media and digital presence.

Key Responsibilities

Office Administration (50%)

  • Provide front office support including greeting visitors and managing incoming calls
  • Maintain a clean, organized, and professional office environment Manage office supplies, kitchen inventory, and vendor coordination
  • Handle mail distribution, scanning, copying, and correspondence
  • Support meeting logistics, conference room setup, and internal events
  • Assist executives with scheduling, calendar management, and travel coordination.
  • Maintain accurate records, files, and confidential documents.
  • Track subscriptions, memberships, and administrative expenses

Communications & Social Media (15%)

  • Manage company social media platforms and content calendars
  • Create and publish engaging posts, graphics, and promotional materials
  • Assist with newsletters, internal communications, and announcements
  • Update and maintain company website content and basic SEO
  • Support digital tools such as QR codes and Linktree

Project & Event Support (15%)

  • Assist with company projects and initiatives to ensure timely completion
  • Coordinate company events, retreats, and team-building activities
  • Support customer outings, industry events, and registrations
  • Manage promotional items, corporate gifts, and employee recognition efforts
  • Collaborate with marketing partners and vendors

Additional Responsibilities (20%)

  • Handle ad hoc administrative tasks, interruptions, and special projects
  • Coordinate office improvements, maintenance, and renovations
  • Support community engagement and corporate initiatives

Qualifications

  • Minimum 1 year of relevant administrative or office experience
  • Strong written and verbal communication skills
  • Knowledge of social media platforms and content creation
  • Experience with Canva (preferred) and video editing (a plus) Proficiency in Microsoft Word and Excel
  • Ability to work across all levels of an organization
  • Strong organizational, multitasking, and problem-solving skills
