Job Description
We're looking for an organized, proactive Operations Assistant to keep our office running smoothly day to day. This is a hands-on role that touches everything from facilities and vendors to onboarding new hires and supporting the leadership team. You'll be the go-to person people rely on to get things done, a great fit if you love bringing order to a busy environment and enjoy variety in your work.
What you will be doing
Oversee daily office operations to ensure a safe, organized, and productive work environment
Manage relationships with external vendors, including building management, IT support, office supplies, and catering services
Act as the primary point of contact for internal inquiries related to facilities, equipment, and general office policies
Support the onboarding and offboarding processes for new employees, coordinating desk setups and equipment provisioning
Assist in planning and executing team events, offsites, and internal company meetings
Identify bottlenecks in current operational workflows and propose actionable improvements
Handle ad-hoc administrative and operational tasks as needed by the leadership team
Qualifications
At least 2 years of experience in an operations, administrative, coordinator, or office support role
Highly organized with strong attention to detail and the ability to juggle competing priorities
Clear, friendly communicator, comfortable interacting with everyone from new hires to executives
Proactive problem-solver who takes ownership without being asked
Comfortable with common office and productivity tools (email, calendars, spreadsheets, docs)
Able to work on-site full-time and be present as the backbone of the office
Discretion and good judgment when handling sensitive information
