Role Summary:
This is a generalized role where the Operations Executive will provide high-level administrative, operational, and strategic support to the CEO and leadership team, acting as a trusted right hand who manages priorities, communications, and day-to-day execution across the organization. The role also extends to broader operational support across the leadership team, ensuring alignment, coordination, and smooth execution of business priorities. This position requires exceptional discretion, organizational skill, and the ability to anticipate needs before they arise.
Key Responsibilities:
- Manage the CEO's/leadership's calendar, scheduling, and travel arrangements, proactively resolving conflicts and prioritizing time
- Act as the primary point of contact between leadership and internal/external stakeholders
- Prepare briefing materials, reports, presentations, and correspondence on behalf of leadership
- Coordinate and attend leadership and cross-functional meetings; track minutes, action items, and follow-ups
- Handle confidential and sensitive information with the utmost discretion
- Manage special projects and operational initiatives as assigned
- Liaise with department heads to ensure alignment on priorities, timelines, and deliverables
- Organize board meetings, offsites, and company-wide/executive events
- Screen and prioritize incoming communications (email, calls, requests)
- Manage expense reports, budgets, and vendor relationships
- Identify inefficiencies in day-to-day operations and propose improvements
- Support onboarding, documentation, and process standardization across teams
- Anticipate needs and proactively solve problems before they escalate
Required Qualifications:
- Bachelor's degree preferred
- 3–5+ years of experience supporting C-level executives
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- High level of professionalism, discretion, and judgment
- Proficiency in Microsoft Office, Google Workspace, and calendar/scheduling tools
- Ability to multitask and work under pressure in a fast-paced environment
Preferred Qualifications:
- Experience in a startup or high-growth company environment
- Project management experience or certification
- Familiarity with tools like Slack, Notion, Asana, or similar
