Purpose

This is a newly created, globally scoped People Operations role based in Bangalore, India, designed to provide high-quality, consistent HR operational support across all regions. As one of two People Operations Specialists, you will be the first point of contact for employees and managers across the full employee lifecycle — from onboarding through to offboarding — ensuring a seamless and professionally consistent experience for our global workforce.

This role is a key part of the transition from a UK-centric HR support model to a globally distributed People Operations function. You will work closely with the Global People Operations Manager and the People Systems & Change Specialist to deliver operational excellence, maintain data integrity in HiBob, and drive a culture of self-service and continuous improvement.

Key Responsibilities:

Employee Lifecycle Management
- Own end-to-end operational delivery of the employee lifecycle across all global regions, including onboarding, probation tracking, contract changes, internal transfers, and offboarding.
- Draft, issue, and manage employment contracts, change-of-terms letters, and other employment documentation to a consistently high standard.
- Act as the primary owner of the global People inbox, triaging and resolving employee and manager queries within agreed SLAs, escalating complex matters appropriately.
- Co-ordinate and deliver a world-class onboarding experience — scheduling, pre-boarding comms, Day 1 readiness, and participation in onboarding surveys at both week 1 and week 5.
- Manage the leaver process end-to-end, including exit surveys, system deactivations, and payroll notifications.

HRIS & Data Governance
- Maintain accurate, timely, and audit-ready employee data in HiBob across all fields: employment details, salary, role, location, and reporting lines.
- Process all employee lifecycle changes in HiBob promptly and accurately, ensuring downstream systems (payroll, benefits,) are updated.
- Conduct regular data audits and quality checks, flagging discrepancies and working with the People Systems & Change Specialist to resolve them.
- Support the development and maintenance of people data standards, naming conventions, and governance frameworks.

Payroll & Benefits Administration
- Co-ordinate monthly payroll inputs for assigned regions — collating, validating, and submitting changes to the payroll function within deadlines.
- Support benefits administration including enrolment, changes, leavers processing, and vendor queries.
- Maintain accurate records of leave entitlements, absence patterns, and statutory compliance requirements across jurisdictions.

Policy, Compliance & Continuous Improvement
- Maintain and update People policy documentation, ensuring content is current, compliant, accessible, and clearly written.
- Support ISO 27001 and SOC2 audit processes — maintaining HR evidence logs and people data controls.
- Identify and propose process improvements that reduce manual effort, improve consistency, or enhance employee experience.
- Champion and help build self-service capability — developing FAQs, how-to guides, and manager toolkits to deflect routine queries.
- Support global mobility administration including visa tracking, work permit renewals, and relocation co-ordination where required.

 

Skills & Competencies:
- Strong HR operational capability with a high standard of accuracy and attention to detail, particularly around employment documentation and data quality.
- Excellent written and verbal communication skills — able to draft clear, professional employment correspondence and respond to employee queries with confidence.
- Effective at managing a high volume of concurrent tasks with strong prioritisation and follow-through.
- Collaborative and proactive — works well across functions and time zones, building trust with colleagues and stakeholders quickly.
- Continuous improvement mindset — always looking for ways to simplify processes, reduce manual effort, and improve the employee experience.
- Comfortable working autonomously and making sound judgements within agreed parameters.
- Digitally confident — quick to learn new systems and comfortable working within a modern HR tech stack.

 

Required Experience & Qualifications:

Essential:
- 4.5+ years’ experience in HR Operations, People Ops, or HR Shared Services role.
- Demonstrable experience managing a global or multi-country employee population.
- Strong working knowledge of HRIS systems (HiBob preferred, or equivalent such as Workday, BambooHR, or Personio).
- Experience processing payroll inputs and liaising with payroll providers.
- Confident drafter of employment documentation and employee communications.
- Ability to manage a high volume of concurrent tasks with strong prioritisation.
- Fluent written and spoken English.
- Comfortable working across time zones in a globally distributed team.

Desirable:
Experience in a RegTech, FinTech, or technology-led business.
Exposure to ISO 27001 / SOC2 HR evidence requirements.
Familiarity with UK employment law (in addition to Indian employment law).
Experience with CultureAmp, Ashby, or similar HR tech platforms.
Experience supporting global mobility and visa sponsorship processes.
HR qualification (CIPD or equivalent).
Experience with AI tools to improve HR operational efficiency.

 

Performance Indicators

In your first 90 days:
Full audit of HiBob data quality completed and key gaps actioned.
Ownership of the People inbox established, with agreed query response SLAs being met.
At least one full payroll cycle for assigned regions successfully processed.
Strong working relationships built with your counterpart Specialist and the wider People team.

By the end of year one:
Employee lifecycle processes consistently delivered on time and to a high standard across all global regions.
HiBob data accuracy measurably improved and maintained above agreed thresholds.
Self-service content and toolkits in place, reducing repeat query volume.
Recognised by employees and managers as a trusted, responsive, and knowledgeable HR contact.
