Job Summary The Personal Business Assistant to the CEO will provide high-level executive and personal support, ensuring seamless management of the CEO’s professional and family-related commitments. The ideal candidate is highly organized, proactive, discreet, and capable of handling complex tasks and urgent matters with speed and sound judgment. This role requires exceptional multitasking ability, problem-solving skills, and absolute confidentiality. Key Responsibilities; Manage and coordinate the CEO’s business calendar, meetings, travel, and appointments. Act as the primary point of contact between the CEO and internal/external stakeholders. Prepare briefs, presentations, reports, and correspondence on behalf of the CEO. Track action items, follow up on deadlines, and ensure execution of priorities. Assist in strategic planning by organizing meetings, materials, and key documents. Organize and manage the CEO’s personal and family schedules, events, and commitments. Coordinate personal travel, accommodation, visas, and logistics for the CEO and family members. Liaise with service providers (household staff, schools, healthcare providers, security, etc.). Handle personal errands and urgent requests efficiently and discreetly. Proactively identify issues, risks, or conflicts in schedules and resolve them swiftly. Handle emergencies and last-minute changes with calm, discretion, and effectiveness. Make informed decisions independently when required, in line with the CEO’s preferences. Maintain organized and secure records of business and personal documents. Ensure strict confidentiality of all business and personal information. Manage expenses, invoices, and reimbursements related to business and personal matters. Requirements Minimum of 5–8 years’ experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives or high-net-worth individuals. Exceptional organizational and time-management skills. Proven ability to work under pressure and solve problems quickly. Strong decision-making and prioritization skills. Excellent written and verbal communication skills. High level of emotional intelligence and professionalism. Tech-savvy with strong proficiency in MS Office, Google Workspace, and scheduling tools. Highly proactive, detail-oriented, and resourceful. Trustworthy, discreet, and loyal with strong ethical standards. Flexible and available outside normal working hours when required. Strong interpersonal skills and ability to manage diverse stakeholders.
