About the role
Rootquotient is hiring a PMO Analyst / PMO Executive to support account-level operations across our delivery portfolio. This role helps run the day-to-day PMO engine for client accounts—resource allocation tracking, billing readiness, expense tracking, gross margin hygiene, and project performance reporting—working closely with Delivery and Finance to ensure strong operational discipline and clear visibility.
This is a great role for someone who is detail-oriented, comfortable with data, and enjoys working across teams to keep projects running smoothly.
What you’ll do
Resource allocation & utilization tracking
- Track team allocations across accounts (billable/non-billable, planned vs actual).
- Maintain staffing trackers and highlight upcoming gaps, extensions, and ramp-downs.
- Coordinate with People Ops and Delivery Managers on onboarding, roll-offs, and backfills.
Billing readiness & invoicing support
- Support monthly billing cycles by validating:
- timesheets and approval status
- project codes, rate cards, and billing periods
- milestone completion (for milestone-based billing, where applicable)
- Coordinate with Finance and Account Leads to ensure invoices have the right inputs and approvals.
Expense tracking & controls
- Maintain project expense trackers (reimbursables, vendor costs, tools, travel).
- Ensure expenses are recorded on time with correct tagging and approvals.
- Support client chargeback documentation for reimbursables, where needed.
Gross margin & leakage hygiene (with Finance/PMO Lead)
- Assist in tracking gross margin by account and flag early warning signs (unbilled time, missed billing, incorrect rates, scope creep indicators).
- Maintain simple variance notes (what changed, why, and what actions are needed).
Project performance reporting
- Prepare weekly/monthly reporting packs for accounts:
- status summary, milestones, risks/issues, dependencies
- budget/burn tracking and forecast inputs
- resourcing overview and key changes
- Maintain RAID logs and action trackers; follow up to close actions.
Tools, templates & process discipline
- Own templates and ensure consistent usage (status reports, staffing plans, trackers).
- Support reporting discipline: deadlines, completeness, accuracy, and version control.
- Work with Jira/Confluence (or similar) to pull data and keep reporting aligned.
What we’re looking for
- 3–4 years experience in a PMO / Project Operations / Delivery Ops / Project Coordinator role in an IT services, product engineering, or consulting environment.
- Comfort with numbers and operational tracking: billing inputs, utilization, expenses, and basic margin concepts.
- Strong Excel/Google Sheets skills (pivot tables, lookups, clean trackers, reconciliation).
- Strong communication and follow-up skills; able to coordinate across multiple stakeholders.
- High attention to detail and ability to manage multiple accounts/projects in parallel.
Nice to have
- Exposure to Jira/Confluence and timesheet systems (Tempo/Harvest or similar).
- Basic understanding of billing models (T&M vs milestone/fixed bid).
- Experience supporting leadership reporting (weekly/monthly cadence).

- Accurate, timely reporting that delivery and finance teams trust.
- Billing inputs are ready on time with fewer misses and escalations.
- Resource allocation visibility improves, and staffing risks are flagged early.
- Expenses and operational hygiene are consistently tracked and documented.
