The Regional Hospitality Manager is tasked with overseeing office event planning, creative development, catering, and the execution of all on-site meetings and events. This role involves close collaboration with the Regional Office Administrator to provide guidance and direction to local conference service teams within the region concerning meetings and events. The Regional Hospitality Manager is responsible for managing hospitality procedures, best practices, and service standards to ensure the seamless operation of all conference-related activities. Additionally, the Regional Hospitality Manager ensures that all clients and visitors receive the highest level of service, reflecting the firm’s commitment to excellence and attention to detail, thereby creating an environment that is welcoming and conducive to productive interactions.

 

Essential Duties and Responsibilities: 

  • Oversee logistical planning and execution of all meetings and on-site events; support the Regional Office Administrator in coordinating and implementing office engagement initiatives.

  • Supervise outsourced functions, including conference room setup, post-conference cleanup, and catering duties.

  • Monitor and coordinate the purchasing of office hospitality items to ensure organized and effective amenities for personnel and guests.

  • Assist multiple sites with various event types and needs, ensuring effective budget management while providing high-quality experiences to meet internal and external client expectations.

  • Anticipate problems and barriers to hosting successful meetings and events and recommend solutions.

  • Manage and administer in-office event budgets, monthly invoices, and timely reconciliations via Chrome River.

  • Consult with customers to determine objectives and requirements for events and meetings.

  • Maintain strong working relationships with clients and vendors.

  • Oversee conference room schedules in multiple offices, resolving scheduling conflicts or requests based on business and meeting needs.

  • Stay aware of current trends in event management and integrate them into operations; review the effectiveness of event operations and adjust as needed.

  • Oversee the Reception team, including interviewing, hiring, training, and developing team members.

  • Manage the Reception team schedule and coverage during meal breaks and planned or unplanned absences.

 

Knowledge, Skills, and Abilities:

  • Strong understanding of various software systems applicable to the Hospitality function.

  • Excellent analytical and ability to anticipate issues and develop contingency plans.

  • Excellent interpersonal skills and the ability to work and communicate effectively with all levels of law firm personnel, including partners and administrative managers.

  • Excellent management, leadership, organizational and communication skills.

  • Ability to analyze complex problems and recommend and/or implement solutions.

  • Ability to multi-task, meet deadlines and shift priorities quickly.

  • Ability to excel in a fast-paced environment.

  • Must be able to regularly lift and/or move up to 10 lbs., frequently lift and/or move up to 25 lbs.

 

Education and/or Experience: 

  • Bachelor’s degree in hospitality management; any equivalent combination of training, education, and experience that demonstrates the ability to perform the duties of the position may be considered.

  • Minimum seven (7) years’ experience in Catering and Conference Services in large, up-scale, high volume environment.

  • Minimum two (2) years of supervisory experience in a hospitality position.

  • Meeting and Room Scheduling software experience beneficial.

Hiring Salary Range:

$110,000.00 - $130,000.00
