About the Client

A fast-growing digital health platform delivering Medicaid-focused mental health care across multiple US states is looking for a Provider Operations Coordinator to own the entire provider onboarding experience and free up leadership time currently spent running onboarding calls directly.

The company is scaling quickly, with provider and patient volume climbing month over month, and currently relies on a lean, offshore-supported operations team to keep pace. Leadership values high agency, meticulous attention to detail, and compassion, especially given the vulnerable populations the platform serves.

About the Role

In this role, you'll own the full provider onboarding lifecycle — from pre-call setup (email accounts, EHR credentials, contracts) through independently leading multi-hour onboarding presentations, to ongoing post-onboarding support. You'll train new providers on the company's EHR systems via screenshare, walk them through clinical guidelines, and keep a detailed tracker updated across every step of their onboarding journey.

Success means providers leave onboarding fully prepared and confident, minimal need for leadership involvement in onboarding calls, and a continuously improving onboarding process. As you grow into the role, you'll take ownership of proactive provider capacity planning and become the single point of contact for all provider-related needs.

Core Responsibilities

Provider Onboarding & Training

  • Independently lead 3–4 hour onboarding calls with newly hired providers, currently 8–14 per month
  • Present clinical guidelines and company protocols with clarity and engagement
  • Train providers on EHR systems via screenshare, covering scheduling, notes, and charge capture
  • Answer clinical and technical questions with patience, adapting explanations as needed

Pre-Onboarding Setup & Administration

  • Set up provider email accounts, phone lines, and EHR system access ahead of onboarding
  • Track completion of onboarding tasks including contracts, W9s, and credentialing forms
  • Maintain a detailed tracker documenting each provider's onboarding status across 20+ checkpoints
  • Coordinate with the credentialing vendor to collect and submit required provider documents

Post-Onboarding Provider Support

  • Serve as the primary point of contact for provider questions after onboarding
  • Troubleshoot credentialing profile issues and guide providers through corrections
  • Respond to vendor requests for additional provider documentation
  • Monitor provider satisfaction and proactively address concerns

Process Optimization & Pipeline Management

  • Identify and implement workflow improvements to reduce onboarding time
  • Monitor active vs. bench provider capacity and recommend onboarding needs by state
  • Develop and refine SOPs for onboarding, credentialing coordination, and support

Requirements

Must-Have

  • 2+ years of experience in healthcare operations, provider support, or provider-facing coordination, including at least 1 year in an onboarding or training-focused function
  • Demonstrated experience independently delivering multi-hour presentations or training sessions, in-person or virtual
  • Hands-on experience managing complex tracking systems with 15+ data points (Airtable, Smartsheet, or equivalent)
  • Experience with screenshare-based training and fast adoption of new software platforms
  • Independent ownership of a multi-step operational process end-to-end (onboarding, credentialing coordination, or training delivery)
  • C1+ English (CEFR) for extended client-facing presentations

Nice-to-Have

  • Experience with EHR/EMR systems (e.g., Tebra, eClinicalWorks, Athenahealth, Epic, SimplePractice)
  • Background in healthcare credentialing (CAQH, provider enrollment, Medicaid processes)
  • Prior experience at a mental health technology company (e.g., Headway, Grow Therapy, Rula, Spring Health, Lyra Health)
  • HR or payroll platform experience (e.g., Rippling) for timesheet coordination
  • Experience creating SOPs or leading workflow automation projects
