Overview
The Senior IT Procurement Advisor is responsible for managing complex IT software procurement requests within the Operational IT Procurement Team, including software purchases, renewals, SaaS agreements, cloud subscriptions and associated contracts.
Reporting to the Operational IT Procurement Manager, the role combines hands-on software procurement delivery for a small team of IT Procurement Advisors. The Senior IT Procurement Advisor acts as a subject matter expert and escalation point for complex software requests, provides commercial guidance to stakeholders and supports the development of assigned direct reports.
The role works closely with IT, Legal, Finance, Information Security, Privacy, application owners and business stakeholders to deliver software procurement outcomes that are timely, compliant and commercially effective.
Your role
IT Software Procurement & Commercial Management:
- Manage complex IT software procurement requests from intake through approval, contracting and completion.
- Lead commercial negotiations for software purchases, renewals, SaaS agreements, cloud subscriptions and related technology contracts.
- Review supplier proposals, pricing structures, licensing models and commercial terms to support value for money and reduce commercial risk.
- Work with Legal and relevant control functions to support the review and negotiation of contractual terms and conditions.
- Support software renewal planning and contract lifecycle activities, helping stakeholders to identify requirements and complete actions within agreed timelines.
- Identify opportunities for cost optimisation, licence rationalisation, cost avoidance and improved commercial outcomes.
- Ensure procurement requests are processed in accordance with Corporate Procurement policies, approval requirements and established working procedures.
- Maintain accurate and complete procurement records within approved systems and repositories.
- Act as an escalation point for complex software procurement matters within the Operational IT Procurement Team.
Stakeholder & Supplier Engagement:
- Build effective working relationships with stakeholders across IT, Corporate Functions and the wider business.
- Act as a trusted advisor on software procurement processes, licensing and subscription models, commercial considerations and contracting requirements.
- Coordinate with Legal, Finance, Information Security, Privacy, application owners and other stakeholders to progress software requests.
- Manage supplier and stakeholder expectations throughout the procurement lifecycle.
- Provide clear updates on request status, risks, dependencies and required actions.
- Support supplier discussions and resolution of commercial or contractual issues relating to assigned software requests.
Leadership:
- Support onboarding, training and integration of new team members.
- Provide day-to-day guidance on software procurement requests, supplier engagement, negotiations and stakeholder management.
- Support workload and workload prioritisation for the team with direction from the Operational Procurement Manager.
- Promote collaboration, knowledge sharing, wellbeing and an inclusive team environment.
- Escalate performance, capacity or delivery concerns to the Operational Procurement Manager where appropriate.
Operational Excellence & Continuous Improvement:
- Support the Operational Procurement Manager in delivering the objectives and service expectations of the Operational Procurement Team.
- Identify and recommend opportunities to simplify and improve the IT software procurement process.
- Contribute to the development and maintenance of standard operating procedures, templates, guidance and training materials.
- Support reporting and performance monitoring by maintaining accurate data and providing updates when required.
- Share software market knowledge, lessons learned and procurement best practice with colleagues and stakeholders.
- Support the consistent adoption of procurement systems, processes and controls.
About you
- Experience working within a global organisation.
- Bilingualim (French and English)*
- Experience supporting enterprise software and global software suppliers.
- Experience using procurement, ERP or contract management systems such as SAP Ariba and Oracle.
- Significant experience in procurement, commercial management or contract management, with relevant experience in IT software procurement.
- Demonstrated experience managing software purchases, renewals, SaaS agreements, cloud subscriptions and supplier negotiations.
- Experience reviewing commercial proposals and supporting the negotiation of software contract terms.
- Previous experience formally managing, supervising or developing employees.
- Knowledge of software licensing, SaaS and cloud subscription models.
- Understanding of software contract terms, commercial risk and contract lifecycle management.
- Understanding of procurement governance, approvals, data quality and record-keeping requirements.
- Strong understanding of software licensing models, subscription pricing and associated commercial considerations.
- Awareness of the roles of Legal, Information Security, Privacy and Finance in software procurement.
- Strong organisational, analytical and problem-solving abilities.
- Ability to manage multiple priorities and work with a high degree of autonomy.
