About this role

Site Contracts Negotiator - Fluency in Polish. Experience in budgets and contracts required

ICON is a global healthcare intelligence and clinical research organisation united by a mission to bring new medicines and treatments to patients faster.

As a values-driven organisation, integrity, collaboration, agility, and inclusion are at the heart of how we work and interact with each other, customers, patients and suppliers.

As a Site Contracts Negotiator II at ICON, you will play an important role in getting clinical trials up and running by negotiating Clinical Trial Agreements (CTAs) and site budgets directly with investigator sites in Poland.

You will independently manage contract negotiations across a portfolio of clinical studies, working closely with Polish sites, sponsors, and internal teams to reach timely, commercially sound, and compliant agreements.

What You Will Do:

  • Negotiating Clinical Trial Agreements (CTAs), amendments, and site budgets directly with investigator sites in Poland.

  • Managing negotiations in Polish and English, adapting your communication and approach to different site and stakeholder requirements.

  • Reviewing and negotiating contract language in line with sponsor requirements, internal guidance, local regulations, and site feedback.

  • Managing a portfolio of contracts simultaneously, tracking progress and proactively resolving issues that could delay study start-up.

  • Partnering with Legal, Finance, Study Start-Up, and project teams to resolve contractual and budget-related matters.

  • Maintaining accurate documentation of negotiations, approvals, and executed agreements within relevant clinical trial systems.

  • Identifying opportunities to improve contracting processes, templates, and ways of working.

  • Sharing knowledge and best practices with colleagues and supporting less experienced team members where appropriate.

Your Profile

  • Fluent Polish and English are essential, as you will negotiate contracts and budgets directly with investigator sites in Poland.

  • Bachelor's degree in law, business, life sciences, or a related field, or equivalent relevant experience.

  • Previous experience in site contracting, contract negotiation, contracts administration, or a comparable role, ideally within a CRO, pharmaceutical, biotechnology, or healthcare environment.

  • Understanding of Clinical Trial Agreements and/or site budget negotiations.

  • Strong negotiation and stakeholder management skills, with the confidence to navigate contractual discussions and reach effective solutions.

  • Ability to independently manage multiple negotiations, priorities, and deadlines.

  • Strong attention to detail combined with a practical, solution-focused approach.

  • Collaborative mindset and ability to work effectively with cross-functional and international teams.
