This is a hands-on role for someone who is organized, personable, creative, and comfortable wearing multiple hats. The ideal candidate enjoys keeping an office running smoothly but is equally comfortable taking photos, creating social media content, and helping showcase the great things happening within the school community.

The position will begin at approximately 10 hours per week, with the potential for responsibilities and hours to grow as the school continues to expand.

Key Responsibilities

Administrative Support

  • Serve as a welcoming first point of contact for incoming phone calls, visitors, families, vendors, and community members.
  • Answer and route phone calls, respond to general inquiries, and take accurate messages.
  • Provide general administrative support to school leadership and staff.
  • Organize and maintain electronic and physical files, records, and documents.
  • Draft, format, proofread, and edit correspondence, cover letters, forms, and other materials.
  • Prepare letters, mailings, packets, and other school communications.
  • Assist with scheduling meetings, appointments, school activities, and events.
  • Maintain calendars and help coordinate deadlines and follow-up items.
  • Enter and update information in databases, spreadsheets, contact lists, and other systems.
  • Scan, copy, file, and organize documents.
  • Maintain office supplies and assist with general office organization.
  • Assist with special projects, school events, enrollment activities, fundraising initiatives, and other administrative needs as they arise.

Social Media & Communications

A significant component of this position will be supporting the school’s social media presence and helping share its story with families and the broader community.

  • Help manage and maintain the school’s social media accounts.
  • Create and schedule engaging social media content highlighting programs, activities, events, staff, and the school community.
  • Take photos and short videos during school activities and events for use on social media.
  • Write engaging captions and posts that reflect the school’s voice, mission, and culture.
  • Create simple graphics and social media materials using Canva or similar tools.
  • Develop and maintain a consistent posting schedule and content calendar.
  • Help promote school events, enrollment initiatives, community partnerships, fundraising efforts, and other activities.
  • Monitor social media engagement and assist with responding appropriately to comments and messages.
  • Identify opportunities to increase awareness and visibility of the school within the local community.
  • Assist with newsletters, website updates, email communications, and other marketing materials as needed.
  • Maintain appropriate discretion and confidentiality when sharing school-related content, particularly involving students.

Requirements

What We’re Looking For

  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Professional, friendly, and comfortable communicating with families, staff, visitors, and community members.
  • Strong writing, proofreading, and editing abilities.
  • Comfortable using social media platforms such as Instagram and Facebook.
  • Ability to create polished, engaging social media content.
  • Experience with Canva or similar design tools is a plus.
  • Proficiency with Microsoft Office, Google Workspace, or similar applications.
  • Ability to prioritize tasks and work independently with limited supervision.
  • Flexible and willing to jump in wherever needed.
  • Dependable, proactive, and able to maintain confidentiality.
  • Previous administrative, school, nonprofit, marketing, or social media experience is preferred.

Schedule & Location

This position will begin at approximately 10 hours per week. Specific days and hours can be discussed based on the needs of the school and the successful candidate.
