Assistant Facilities Manager – Toronto


Position Summary

The Assistant Facilities Manager supports the day-to-day facilities operations for a corporate office location in Toronto while assisting with select projects and operational support for additional local offices as needed. This role partners closely with the Facilities Manager and key stakeholders to help ensure a safe, efficient, and well-maintained workplace environment.

The ideal candidate is highly organized, customer-service-oriented, and capable of managing multiple priorities in a fast-paced office environment.


Key Responsibilities


Facilities Operations

  • Support daily facilities operations for the assigned Toronto office location.
  • Coordinate maintenance requests and follow through to resolution.
  • Assist in managing preventive and corrective maintenance programs.
  • Monitor workplace conditions to ensure cleanliness, safety, and operational efficiency.
  • Support office moves, furniture reconfigurations, and workplace projects.

Vendor and Service Coordination

  • Coordinate with vendors and service providers including janitorial, maintenance, and security teams.
  • Monitor vendor performance and escalate issues when necessary.
  • Assist with service scheduling, work orders, and invoice processing.

Workplace Experience and Customer Service

  • Serve as a point of contact for employees regarding facilities-related requests and concerns.
  • Support workplace initiatives and employee experience programs.
  • Help maintain a professional and welcoming office environment.

Health, Safety, and Compliance

  • Assist with health and safety inspections and compliance activities.
  • Support emergency preparedness procedures and building safety programs.
  • Maintain accurate facilities documentation and records.

Administrative and Reporting Support

  • Assist with budget tracking, purchase orders, and invoice reconciliation.
  • Maintain facilities reports, maintenance logs, and operational documentation.
  • Support reporting on key operational metrics and service levels.

Stretch Assignments and Project Support

  • Provide operational support and project assistance for other local office locations as assigned.
  • Participate in facilities improvement initiatives and special projects across the local portfolio.

Qualifications

  • Bachelor’s degree or diploma in Facilities Management, Business Administration, or related field preferred.
  • 3–5 years of facilities coordination or facilities management experience.
  • Experience supporting corporate office environments preferred.
  • Familiarity with building operations and vendor coordination.
  • Proficiency with Microsoft Office applications and facilities management systems.
  • Knowledge of workplace health and safety practices in Ontario.

Estimated compensation for this position:

63,000.00 – 73,500.00 CAD per year

This range represents the estimated base salary and actual compensation may differ. Final base salary is determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Some roles and employees may be eligible for discretionary bonuses, benefits, or other compensation.
