About this role

About the Role

Neural Concept is building the future of AI-powered engineering software. As Assistant to the CRO, you will provide high-level executive support while coordinating customer outreach, commercial activities, candidate onsite processes, and local operations in our Munich office.

You will work closely with the CRO, to manage his priorities and coordinate the meetings, follow-ups, and stakeholder communication around his work. You will also coordinate onsite processes and serve as the primary administrative point of contact for local events in Munich. You will play a key role in shaping the day-to-day experience of our Munich office, helping create a welcoming, well-organised environment for the team.

This is a hands-on coordination role for someone proactive, highly organised, discreet, and comfortable managing multiple priorities in an international scale-up environment.

What You Will Do

  • Provide day-to-day executive support to the CRO, managing priorities, schedules, communications, and follow-ups.

  • Act as the local administrative point of contact for internal and customer events within the region, supporting the team with venues, suppliers, materials, invitations, and on-the-day coordination. This might involve customer meetings, sales events, conferences, leadership meetings and offsites.

  • Support targeted outreach to senior customer stakeholders, including CTOs and other executives, helping ensure smooth execution before and during each meeting.

  • Organise international travel, including itineraries, bookings, and last-minute changes.

  • Prepare meeting agendas, briefing notes, follow-ups, and internal communications.

  • Be the soul of the Munich office, coordinating meeting room coordination, office supplies, visitor management, mail, facilities requests, and relationships with office vendors.

Who You Are

  • 3+ years of experience as an Assistant, Executive Assistant, Personal Assistant, Office Manager, or in a similar coordination role, ideally supporting a senior leader in a technology or scale-up company.

  • Experience coordinating executive schedules, customer or executive outreach, meetings, events, candidate onsite processes, and vendors.

  • Strong organisational and communication skills with a professional approach across our stakeholders, with excellent written and spoken English and German mandatory.

  • Proficient with tools such as Google Workspace, Slack, and Notion.

  • Comfortable working with structured trackers, spreadsheets, and follow-up processes.

  • Very professional and autonomous, dependable, discreet, and comfortable handling confidential information.

  • Able to anticipate needs, manage competing priorities, and work effectively with senior stakeholders, customers, candidates, and international teams.

  • Confident in communicating with senior external stakeholders and representing Neural Concept professionally.

  • This is an in-office position, 4 days per week.
