POSITION OVERVIEW

We are looking for a detail-oriented, proactive, and candidate-centric Onboarding Specialist to support our Shared Services Centre. The role will focus on managing the end-to-end employee integration lifecyclefrom pre-onboarding coordination to post-onboarding stabilization. The ideal candidate will ensure a seamless transition for new hires by driving structured 30-60-90 day onboarding plans, coordinating system access, and tracking Knowledge Transfer (KT) progress to ensure new joiners settle successfully into their roles. Additionally, this role will provide crucial support in recruitment sourcing, office administration, and transportation coordination.


Key Responsibilities

  • End-to-End Onboarding Management: Own and execute both pre-onboarding and post-onboarding lifecycles to deliver an exceptional new-hire experience.
  • 30-60-90 Days Roadmap Execution: Implement and track structured 30, 60, and 90-day onboarding milestones, ensuring new joiners complete their Knowledge Transfer (KT) and successfully settle into their roles.
  • Stakeholder Coordination: Partner closely with hiring managers to proactively secure all necessary hardware, software, and system access required for the new joiner's day-one readiness.
  • Recruitment Sourcing Support: Assist the talent acquisition team by actively sourcing, screening, and pipelining high-quality candidates for open positions within the shared services network.
  • Office Administration: Provide daily support for essential office administration tasks, maintaining an organized and efficient workplace environment.
  • Transportation Coordination: Logistics management and coordination of employee transportation schedules to ensure smooth operational transit.
  • Process Improvement: Identify bottlenecks in the onboarding journey and refine processes to reduce the time-to-productivity for new hires.

Professional & Operational Skills

  • Strong understanding of shared services operations and onboarding lifecycle management.
  • Experience in drafting, monitoring, and executing 30-60-90 day employee success frameworks.
  • Hands-on experience with recruitment sourcing methodologies (Job boards, LinkedIn, and internal ATS tools).
  • Proficiency in digital workplace tools and MS Office Suite (Word, Excel, PowerPoint) for administrative tracking.

Business Skills

  • Ability to connect talent integration outcomes with overall business productivity and retention.
  • Exceptional organizational skills with the ability to manage multiple new-hire lifecycles simultaneously.
  • High adaptability in managing cross-functional tasks spanning HR, Admin, and Logistics.

Soft Skills

  • Strong communication, empathy, and stakeholder management skills to interact effectively with candidates and leadership.
  • Ability to work independently, take complete ownership of the employee lifecycle, and solve problems proactively.
  • Proactive mindset with a high level of attention to detail and a welcoming professional demeanor.

Additional Information

Location: This role is based in Chennai (Taramani).

Shift Flexibility: The position supports overlapping hours with international business regions as required by shared services operations 2.30 PM to 11.30 PM IST.

Requirements

Education: Bachelors degree in Human Resources, Business Administration, Commerce, or a related field. (MBA in HR is a plus).

Experience: 3 to 7 years of relevant experience in onboarding management and recruitment support within a Shared Services Centre or Global Capability Centre (GCC).

Proficiency: Exceptional communication skills and a strong grip on operational coordination.
