About this role

We are seeking a detail-oriented Virtual Pharmacy Administrative Assistant to support our client's fast-paced Retail & Specialty Pharmacy practice. The ideal candidate has prior healthcare customer service experience and strong HIPAA compliance skills, excelling at high-volume inbound call triage, prescription refill tracking, and maintaining strict boundaries by escalating clinical and prior authorization inquiries to licensed staff.

Key Responsibilities

  • Inbound Call Triage: Serve as the first line of contact for inbound calls via Weave, handling non-clinical patient requests and routing complex issues.
  • Prescription & Refill Status: Provide administrative updates on prescription status, order tracking, and routine refill processing within Liberty Software.
  • Patient Record Maintenance: Accurately update patient records and thoroughly document every interaction to ensure compliance and team continuity.
  • Insurance Coordination: Handle basic insurance inquiries and route complex coverage issues to the appropriate billing or pharmacy staff.
  • Scope & Escalation Management: Strictly identify and escalate all clinical inquiries, dosage/interaction questions, medication advice, and prior authorization (PA) requests to licensed pharmacists or technicians.

Requirements

Experience: 2+ years of experience in pharmacy, healthcare, or medical administrative support and high-volume customer service.

Software Knowledge: Familiarity with Liberty Software (preferred/trainable) and Weave phone systems.

Industry Knowledge: Strong understanding of pharmacy/prescription terminology and medical office workflows.

Compliance & Judgment: Exceptional HIPAA compliance judgment and a sharp, proven ability to distinguish between administrative duties and clinical escalations.

Communication: Outstanding verbal and written English communication skills with an empathetic patient-facing tone.

Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour depending on skillset and experience. The schedule is Monday through Friday, 10 am est to 6 pm EST.
