About the Opportunity:

The Washington County Sheriff's Office is actively recruiting for a Criminal Records Specialist I/II position! This is an opportunity to apply your best skills in a broad array of administrative responsibilities and receive comprehensive, on-the-job training. In this role, you will provide vital support to the Sheriff’s Office by using a wide variety of specialized software systems which provide information that supports law enforcement officers, criminal court operations, and other jurisdictions. Additionally, you will receive instruction on how to create and extract law enforcement data and provide administrative customer service to members of the public, attorneys, or insurance companies related to bail, fees, towed vehicles, or expunction of records. Criminal Records Specialist I/II work within a 24-hour per day, 7-day per week facility. Criminal Records Specialist I/II positions WILL work day, swing, and graveyard shifts on any day of the week, and MUST be willing to work on holidays and weekends. 

Criminal Records Specialist I: $26.69 - $34.04 per hour 
Criminal Records Specialist II: $29.43 - $37.56 per hour 

Ideal Knowledge, Skills, and Abilities (KSAs):

Knowledge to:

  • Modern office practices and methods;

  • Techniques and methods of business English, spelling, grammar, and punctuation;

  • Techniques and methods of business letter writing and report preparation;

  • Operational characteristics and applications of data processing equipment;

  • Operation and maintenance of office equipment and machinery;

  • Methods of the operation of desktop computer software such as Microsoft Office Suite or equivalent;

  • Principles and procedures of financial recordkeeping and reporting; and

  • Principles of basic mathematics such as addition, subtraction, division, and computing percentages.

Skills to:

  • Proficiently perform general office tasks and operate typical office software such as word processing and Microsoft Office Suite or equivalent; and

  • Maintain high accuracy and detail in recordkeeping tasks.

Ability to:

  • Learn and apply pertinent federal, state, and local laws, codes, and regulations;

  • Learn to operate electronic controls, telecommunications equipment, computers, and other office equipment;

  • Develop competency with law enforcement data systems and other specialized software typical to the job assignment;

  • Work any shift and any day of the week;

  • Remain calm and focused under time pressure or while assisting customers under stress or in urgent situations;

  • Set priorities and adapt them as needed to complete all assigned tasks in a timely manner;

  • Communicate effectively in English, orally and in writing, and follow oral and written instructions;

  • Establish and maintain cooperative working relationships with customers, coworkers, and supervisors;

  • Take instruction and direction and collaborate in a team-centered environment;

  • Respond to angry, confused, or impaired individuals in a calm, professional manner.

Minimum Qualifications

Education and Experience:

Criminal Records Specialist I:

  • Three (3) years of general administrative experience;

  • An Associate's Degree may substitute for two (2) years of the experience.

  • Possession of Microsoft Office Specialist certifications (MOS) is preferred.

Criminal Records Specialist II:

  • Five (5) years of administrative support experience. Two (2) of the five (5) years must include law enforcement or related administrative support experience.

  • An Associate's Degree may substitute for two (2) of the years of general administrative support experience, but may not substitute for the law enforcement or related administrative support experience.

Additional Requirements

  • Selected candidate must pass a post-offer drug screen.

  • Background Check: The selected finalist(s) for this position must be able to pass a thorough background investigation conducted by the Sheriff's Office. The background Investigation for this position typically take 6-8 weeks to complete so you will want to plan accordingly. The information that will be required when you complete the Personal History Statement includes, but is not limited to:

    • Employment Information (past 10 years or back to age 17; 3 co- workers will be requested from each past employer) 
    • Residential Information (past 10 years or back to age 17) 
    • Financial Information 
    • References (6 without using the same people as coworker or supervisor references) 
    • Family Member Information 
    • Driving History 
    • Past/Present Drug Use and/or Controlled Substances  
    • Criminal History

Selection Process:

Panel Interview(s): The top 6 – 8 candidates will be invited to participate in a panel interview. 

Manger Interview/ Job shadow: Selected candidates will be invited to a manager interview and job shadow.

Background Investigation: The selected candidate for this position must be able to pass a thorough background investigation. 

Offer of appointment: Human Resources will conduct a salary analysis for the successful candidate(s) and extend an offer of appointment. 

Start Date: A start date will be determined after all conditions of employment have been met.
