About the Role

As an Event Planner at JW Marriott Gold Coast Resort & Spa, you will play an important role in delivering seamless and memorable meetings and events from initial handover through to post-event follow-up. Working closely with clients and internal stakeholders, you will coordinate event logistics, prepare event documentation, and support the successful execution of a variety of events. You will partner with Sales, Event Operations, Culinary and other hotel departments to ensure exceptional service is delivered at every stage of the event journey. This role primarily manages events ranging from small meetings and social functions through to conferences and events of up to 100 attendees. You will have the opportunity to build strong client relationships, identify opportunities to enhance the event experience, and contribute to creating memorable events that encourage repeat business.

Key Responsibilities Event Planning & Client Management
  • Meet with clients following the sales handover to understand their event objectives, requirements, and expectations.
  • Coordinate planning meetings and communicate event requirements across hotel departments.
  • Prepare and maintain event documentation, including Banquet Event Orders (BEOs).
  • Coordinate meeting room setups, catering requirements, accommodation arrangements, and event logistics.
  • Assist clients throughout the planning process and respond promptly to enquiries.
  • Support the delivery of successful events through effective communication and coordination.
  • Collaborate with Sales, Culinary, Event Operations, and third-party suppliers to ensure a seamless event experience.
  • Ensure compliance with Marriott standards, policies, and procedures.
Sales & Revenue Support
  • Identify opportunities to enhance the guest experience through additional products and services.
  • Support customer site inspections and hotel tours when required.
  • Build strong relationships with clients to encourage repeat business.
  • Act as a key point of contact between clients and hotel departments throughout the event planning process.
Administrative & Financial Support
  • Assist with event forecasting and reporting requirements.
  • Ensure event details, billing information, and client requirements are accurately documented.
  • Liaise with the Finance team to support invoicing and payment processes.
  • Effectively utilise Marriott event management systems and technology platforms.
Exceptional Guest & Client Experience
  • Maintain a professional and welcoming approach when interacting with clients and guests.
  • Support Event Operations teams to ensure events are delivered to a high standard.
  • Respond promptly and effectively to guest concerns and client requests.
  • Gather client feedback and identify opportunities for continuous improvement.
  • Conduct post-event follow-up and support future booking opportunities.
About You

To be successful in this role, you will have:

  • Previous experience in hospitality, events, conference services, sales, hotel operations, or a related field.
  • A passion for creating memorable guest experiences.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Strong attention to detail and the ability to manage multiple priorities.
  • A collaborative approach and willingness to work across departments.
  • Experience using Microsoft Office Suite, Outlook, Teams, Excel and hotel or event management systems will be highly regarded.
  • A qualification in Hospitality, Events, Business, or a related discipline is desirable but not essential.
