  • Assists new employees in enrolling in benefits and retirement, both OPERS and Pathfinder. Responds to general questions and forwards complex questions to the HR Administrator.
  • Orders retirement certificates and picks them up from the Oklahoma State Capitol.
  • Communicates with selected candidates and provides instructions on completing background/fingerprint checks; sends offer letters to both internal and external candidates; and welcome emails.
  • Facilitates New Employee Orientation (NEO) weekly in the Tulsa area (travel required); guides new hires through onboarding tasks in Workday; track onboarding tasks through completion by deadlines provided; collects, processes, and files hire documents and forms.
  • Processes personnel transactions in Workday for full-time employees; tracks and ensures approvals have been received in a timely manner; ensures compliance with applicable laws and rules concerning appointments, promotions, demotions, transfers, separations and other actions.
  • Monitors the HR shared email; responds to general questions or forwards complex questions to appropriate HR Team Member.
  • Travels to cities around the state of Oklahoma during Option Period for Benefits in October and any other special events throughout the year.
  • Sends out initial information on Incident Reports. Tracks and manages Incident Reports where injury did not occur. Forward those with injuries to the HR Administrator.
  • Prepares and sends initial FMLA, PWFA, ADA, and accommodation information to employees upon request. Assists in tracking these requests.
  • Provides guidance to employees and supervisors when timesheet questions arise.
  • Processes and tracks overtime designations.
  • Creates a Option Period Enrollment Plan and updates it annually. Focus shall be on changes to benefit allowances, premiums, and providers.

The Service Oklahoma (SOK) mission is to ease the stress in navigating government services by providing a best-in-class customer experience. We are Oklahomans helping Oklahomans by providing driver license and motor vehicle services on behalf of the state.

This position has an annual rate of $60,000.00

Service Oklahoma offers a generous benefits package, including a benefits allowance to off-set the costs of medical, dental, vision, life and disability insurance plans. Service Oklahoma will match up to 7% towards an employee’s Defined Contribution retirement plan. Our employees receive 11 paid holidays, 15 days of paid annual leave, which increases with every 5 years of service, and 15 days of paid sick leave. Additionally, employees will receive longevity payments based on their years of service with the State of Oklahoma.

Job Description

POSITION SUMMARY

The HR Benefits & Coordinator serves as the agency’s designated Benefits Coordinator to all employees.  This position is responsible for enrolling and updating employees’ benefits, processing personnel transactions, facilitating New Employee Orientation, managing timesheets questions, tracking and processing overtime designations, and assisting with Incident Reports.

  • Maintains a system of employee personnel records and payroll records; performs audits at the direction of the HR Director.
  • Generates and sends reports, as assigned; updates the HR Tracking Log weekly.
  • Assists HR Team Members with tasks, projects, programs, meetings, trainings, and presentations.  Serves as back-up for all HR Team Members.
  • Other duties and/or projects as assigned.

 

This position may be expected to cross-train in other sections of their division and perform the job duties in each section, based on the needs of the agency. 


KNOWLEDGE, SKILLS, & ABILITIES

  • Knowledge of federal & state rules, laws, and standards related to human resource management and demonstrated ability to analyze and interpret these rules in various situations.
  • Knowledge of human resources management policies and procedures.
  • Knowledge of business communications; utilizing correct spelling, grammar, and business communication etiquette
  • Excellent communication skills; writing, speaking, and presenting.
  • Ability to work as a team member as well as independently, exercising good judgement and initiative.
  • Strong work ethic and effective time management and organizational skills, including ability to manage multiple projects with multiple deadlines.
  • Advanced computer skills with all Microsoft Office.
  • Self-motivated and able to work independently to accomplish assigned tasks.
  • Ability to represent the agency in a positive and professional manner.
  • Ability to thrive in a fast-paced and changing environment.
  • Ability to establish and maintain effective working relationships.

EDUCATION & EXPERIENCE

The minimum qualifications for this position are:

  • A bachelor’s degree in human resources, law, or related field;

Preference may be given to candidates who have:

  • At least one year of work experience utilizing Workday, specifically in Human Resources for the State of Oklahoma.
  • At least one year of professional experience in human resources, law, or related field.

 

SPECIAL REQUIREMENTS

  • The schedule for this position may vary and require flexibility, including some early or late shifts, weekends, and occasional overtime, based on the needs of the agency. 

  • This position will require occasional travel.  The selected candidate must be willing and able to perform all job-related travel.  State vehicles may be available, but reliable transportation may be required for local travel. 

  • This position works in a comfortable office setting with a computer for a large percentage of the workday.
