Job Description

The role is responsible for a portfolio of global and Head Office HR systems with the key objective to maintain, optimise, and develop them to ensure that they meet the needs of the business and to provide credible and responsive system services to key stakeholders.

The role involves working closely with global stakeholders across 20+ subsidiaries within a devolved, autonomous business model to holistically support, standardise, automate and improve the effectiveness of people data, systems, and HR processes.

  • Employee survey/engagement software (Peakon Workday)
  • Local Head Office HRIS (Sage HR)
  • Apprenticeship Levy platform
  • Engagement platform

Key Accountabilities:

  • Act as first point of contact to ensure day-to-day operation and maintenance of the global and head office system portfolio (listed above).
  • Manage the administration of user accounts, roles, and permissions, ensuring that users have appropriate access based on their job functions and organisational role.
  • Provide training and support to System Administrators and other stakeholders of the systems to ensure confident and competent usage whilst also sharing best practices.
  • Develop and maintain user guides, process notes, and other support materials.
  • Maintain data accuracy and integrity within HR systems and databases via regular audits and quality checks.
  • Provide first-line support for systems queries, troubleshooting system issues and data errors. Escalate more complex problems to the relevant supplier, where required to facilitate resolution.
  • Support system testing, implementation, updates, and enhancements where required.
  • Working closely with Group IT to implement and maintain security protocols to protect employee data, including enforcing password policies and monitoring access logs.
  • Collaborate with the HR community to identify system improvements and implement configuration changes.
  • Create, develop and maintain reports and dashboards to support data-driven decision-making across HR and the wider business.
  • Undertake basic system user administration of the engagement platform. 
  • Assist in the rollout of new HR technologies and digital initiatives.
  • Contribute to continuous improvement initiatives by identifying opportunities to streamline processes, enhance reporting, and improve user experience.
  • Assist with ad hoc HR related tasks as required, for example, creating policies and carrying out administration tasks to support global HR programmes.

Qualifications

Key Skills, Experience and Knowledge:

  • Experience in data analysis, reporting, or a HR administration/analytics role, supporting a broad range of HR systems.
  • Experience of delivering end-user training and producing user guides or process documentation.
  • Experience of supporting system testing, updates, enhancements, and process improvements.
  • Degree or similar qualification Data Analytics, Mathematics, Statistics, or a related field is desirable.
  • Solid understanding and keen interest of AI-driven automation, either by having hands-on experience in implementing AI systems or through formal academic study.
  • Strong knowledge of Power BI and creating bespoke reporting dashboards.
  • Strong Excel skills, including formulas, pivot tables, V-lookup and data manipulation.
  • Ability to interpret data and present findings clearly.
  • Strong numerical, analytical, and problem-solving skills.
  • Ability to work effectively with suppliers, system providers, and internal stakeholders to resolve issues and improve service delivery.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Proven track record of working with confidential employee information.
  • Highly organised and methodical.
  • Curious and proactive in identifying trends and opportunities for improvement.
  • Web design experience or knowledge is advantageous.

Additional Information

Location:

The role will be based at the Group head-office in Rickmansworth, Hertfordshire, on the outskirts of London.  However, due to the international spread of the Group’s operations the role may require some travel.
