Junior Car Fleet Management Specialist

We are looking for a Junior Car Fleet Management Specialist to join our global Corporate Travel team. In this role, you will support the administration of the company car fleet across multiple European countries, ensuring smooth fleet operations, accurate data management, and a high level of service for drivers and key stakeholders. Meet Your Team

The Corporate Travel Team is based in Warsaw and operates in a global setup. The team is responsible for managing both business travel and company car fleet operations across multiple countries. We value collaboration, transparency, continuous improvement, and a proactive approach to delivering high-quality services.

Your Responsibilities

• Support the administration and coordination of company car fleet operations across selected European countries.
• Maintain accurate fleet records, driver databases, and vehicle information within fleet management systems.
• Coordinate vehicle ordering processes based on replacement schedules and lease termination dates.
• Assist in managing vehicle replacement, renewal, and contract administration activities.
• Obtain leasing calculations and proposals from leasing providers.
• Serve as the first point of contact for employees on fleet-related policies, procedures, and operational inquiries.
• Cooperate with local HR and Payroll teams regarding vehicle assignments, user changes, and lease expirations.
• Inform drivers about traffic and parking fines and support the resolution process.
• Administer fuel cards and monitor fuel-related transactions across the fleet.
• Support fleet reporting activities, including fuel consumption analysis and ESG reporting requirements.
• Contribute to initiatives supporting electric vehicle adoption and sustainable mobility solutions.
• Collaborate with Procurement, HR, leasing partners, and other stakeholders to improve fleet management processes and policies.

What You Will Bring

• Minimum 1 year of professional experience in fleet management, customer service, administration, or a related corporate environment.
• Higher education degree.
• Good understanding of fleet management processes and vehicle lifecycle administration.
• Good knowledge of Microsoft 365 applications, particularly Excel.
• Very good command of English (minimum B2 level).
• Strong sense of ownership and accountability for assigned tasks and projects.
• Excellent communication and interpersonal skills with a customer-focused mindset.
• Strong attention to detail and a proactive, solution-oriented approach.
• Ability to work effectively in an international and collaborative environment.
