About this role

Company Description

We are a respected and growing Private Practice providing high-quality fertility, reproductive health and gynaecology services to patients across Australia.

We are committed to delivering exceptional patient care through a compassionate, patient-centred approach, supported by leading clinical expertise and innovative treatment pathways. We create positive experiences for patients navigating some of life's most important and emotional healthcare journeys.

As our practice continues to grow, we are seeking a passionate professional who is committed to excellence, continuous improvement and making a meaningful difference in the lives of our patients.

We are looking for someone who is up for a challenge — a person with the right attitude to genuinely make this role their own. This is a lean operation, so you'll be working independently, relying on strong autonomy and adaptability to run things day to day. Once you're settled and established in the role, we'd love for you to work closely with our Specialists to identify and implement more efficient processes.

Job Description

We are seeking a driven and highly capable Medical Receptionist/Practice Manager to independently run the day-to-day operations of a busy and growing Fertility and Gynaecology practice. This is an exciting opportunity for a proactive healthcare professional to establish and refine operational systems, policies, and procedures to support continued growth — and to put their own stamp on how the practice runs.

Working closely with the Specialist, you will take full ownership of practice operations, patient experience, compliance, and business performance, managing the practice largely on your own.

Key Responsibilities

  • Independently oversee the daily operations of a busy specialist practice
  • Manage front-of-house and medical reception functions, including patient scheduling and patient flow
  • Oversee billing, Medicare processing, private health fund administration, and item number claiming
  • Develop, implement and continually improve practice policies, procedures and workflows
  • Monitor and improve operational efficiency and productivity
  • Maintain compliance with healthcare legislation, accreditation standards and privacy requirements
  • Liaise with external providers, hospitals, laboratories and key stakeholders
  • Once established and settled into the role, partner with our Specialists to identify opportunities for more efficient processes

Qualifications

What We're Looking For

The successful candidate will be a confident leader who is equally comfortable managing day-to-day operational demands and strategically building the systems, processes and structure required for an evolving specialist practice.

You will be resilient, adaptable and solutions-focused, with a genuine commitment to delivering outstanding patient care and supporting a high-performing team.

Applications will only be considered from candidates who meet the following criteria:

  • Medical receptionist experience in a medical or specialist practice setting
  • Strong working knowledge of billing and claiming, including Medicare item numbers
  • Proven ability to work independently and autonomously, with minimal supervision
  • Adaptable, resilient and solutions-focused, with the right attitude to take real ownership of the role
  • Highly organised with strong time management and problem-solving skills
  • Excellent communication and stakeholder management skills

Preferred (not essential)

  • Previous experience as a Practice Manager, ideally within a specialist medical practice
  • Experience developing, implementing and maintaining operational policies and procedures
  • Advanced proficiency with medical practice management software systems

Highly Desirable

  • Previous experience within Fertility, IVF, Women's Health or Obstetrics & Gynaecology
  • Understanding of fertility treatment pathways and patient care journeys
  • Experience managing growth, change or practice expansion projects

Additional Information

And what's in it for you?

  • Be part of a respected and growing Fertility and Gynaecology practice.
  • Work alongside a passionate and supportive specialist team.
  • Opportunity to shape and influence the future direction of the practice.
  • Competitive salary package commensurate with experience.
  • Meaningful work supporting patients through important life-changing journeys
  • Learning and development – Ongoing opportunities for continuous education through Education Days, internal development, conference opportunities and companywide initiatives
