Job Description:

Role Overview

We are looking for a PA and Senior Team Assistant to predominantly support the Managing Director alongside assisting members of the Senior Leadership Team where required, and supporting on wider business initiatives, providing high-quality administrative, organisational, and coordination support.  

The PA and Senior Team Assistant acts as a trusted partner—managing diaries, ensuring seamless travel and logistics, and supporting the smooth running of meetings, office activity, and key business events.  
  
This is a varied role with exposure across senior stakeholders, offering the opportunity to contribute to team culture, internal events, and presentation preparation.  

This role will report into the Managing Director and is based in London.

Responsibilities

Managing Director Support:  

  • Provide proactive administrative and coordination support

  • Manage diaries and meetings across regions and time zones  

  • Act as a trusted point of contact, handling correspondence with professionalism and discretion  

  • Organise meeting logistics including rooms, AV/IT support, refreshments, and agendas  

  • Support preparation of meeting materials and follow up on actions where required  

  • Raise PO’s where required for your key stakeholders

Wider business support:

  • Welcome and coordinate external clients and visitors  

  • Work with HR and managers to support with the onboarding of new joiners, ensuring a smooth onboarding experience

  • Work with HR to organise and book company training

  • Assist with the preparation and formatting of presentations, documents, and reports and company offsites

  • Manage email distribution lists

Travel & Expenses:

  • Arrange domestic and international travel, including visas where required for the Senior Management Team

  • Create clear and detailed travel itineraries  

  • Manage travel bookings and expenses efficiently   

Office & Events Support:  

  • Support office management activities as needed  

  • Ensure our workspace is tidy and fit for purpose, including management of office supplies

  • Assist in the planning and delivery of internal and external events  

  • Contribute to creating a positive and well-organised working environment   

What we’re looking for

  • Experience supporting multiple stakeholders in a fast-paced environment  

  • Strong diary management skills across multiple time zones  

  • Experience organising international travel and itineraries  

  • High level of discretion and professionalism  

  • Proactive, organised, and able to anticipate stakeholder needs  

  • Confident working independently and managing competing priorities  

  • Strong judgement and decision-making in complex situations  

  • Calm under pressure and highly organised  

  • Personable and confident interacting with senior stakeholders and clients  

  • Hands-on and willing to support across both executive and office needs  

  • Eager to learn, grow, and build new skills   

Qualifications and Skills

  • Experience in a similar role, either as a Team Assistant, PA or Office Manager.
