Project Document Controller

Reporting to Project Lead, the candidate will coordinate the setup, administration and maintenance of a project document management system.  The successful candidate will work with SJ staff and management to ensure the efficient flow, management, archiving and retrieval of all project related documents.  Successful candidate will be working in a secure environment where confidentiality is a key priority.

Key Responsibilities include:

• Managing project document flows between client and users in strict accordance with security requirements

• Coordinating the setup of file management/archival system in line with industry information management best practice

• Supporting system users to ensure understanding of system and process requirements

• Maintaining document archives – Both electronic & Hard Copy while ensuring all records-management activities adhere to good practices, policies and legal requirements

• Fulfilling document retrieval requests

• Conducting periodic audits to ensure adherence to document control process and procedure

• Liaising / coordinating with Management team

• Providing monthly document analytics report using agreed KPI’s that focus on performance and quality

• Proficiency in communication and coordination skills

• Supporting the preparation of Monthly Project reports

• Performing technical admin support for project team

The Candidate should meet the following requirements:

• Possess Diploma in Engineering or Technology related curriculum

• Minimum 3 years document control experience

• Experience in large, complex projects is beneficial

• Be Proficient with Excel, Word, SharePoint and PowerPoint

• Be well organised and systematic

• Possess good communication skills

• Experience with Aconex, Fulcrum, ProjectWise, etc., is an advantage.
