Job Purpose

To provide administrative support to the purchasing team by accurately entering purchasing data, monitoring supplier deliveries, and proactively following up with suppliers to ensure materials and services are received in line with business requirements. The role plays a key part in maintaining accurate procurement records and supporting the uninterrupted flow of materials into the business.

Key Responsibilities

 

Purchasing Administration

  • Raise and process purchase orders in the company's ERP/MRP system.
  • Ensure purchase order information is accurate and complete.
  • Maintain procurement records and supplier information databases.
  • Update delivery dates, pricing information, and order status within company systems.
  • Assist with supplier onboarding and documentation where required.

Supplier Expediting and Order Management

  • Contact suppliers via telephone and email to confirm order acknowledgements and delivery dates.
  • Follow up on outstanding orders and late deliveries.
  • Escalate potential supply issues to Buyers or the Procurement Manager.

  • Provide general administration support to Buyers and Procurement Managers.

  • Support internal stakeholders with procurement-related queries.

Knowledge, Skills & Experience

 

Essential
