Weekdays, various hours to support opening and closing clinic through the week.

Pay Range:

$19.80 - $29.70

Major Responsibilities:

  • Provides reception and minor administrative services in support for Rehabilitation Department.

  • Focuses on patient’s individual needs, introduces intake paperwork, explains appointment scheduling, process for evaluation and treatment therapy sessions.

  • Answers incoming calls and redirects or takes messages as appropriate.

  • Takes action on mail/correspondence; routes to appropriate parties.

  • Organizes and maintains department files.

  • Maintains office supplies and equipment.

  • Calls associates in for vacation coverage, illness or high census per Manager's direction.

  • Greets all patients in a courteous and professional manner following Advocate Experience and Rehabilitation Service's Standards.

Schedule:

Weekdays, various hours to support opening and closing clinic through the week.


Schedules initial evaluation for rehabilitation patients via phone, follow-up visits and walk-ins. Verifies insurance information and demographic information at first visit. Updates information when needed or adds patient name to work list for registration associates to update.


  • Obtains all demographic and insurance information upon patient arrival. Updates information as needed.

  • Screens patient for prescription requirements.

  • Sends follow-up confirmation to physician office per therapist receipt of verbal order.

  • Reviews pertinent information when scheduling the patient (arrival time, date, location, discipline, items to bring, clothing, reminder about registration call).

  • Informs patient regarding paperwork requirements at first visit.

  • Coordinates scheduling of appointments requiring multiple disciplines.

  • Assists with rescheduling patients when cancellations occur.

  • Acts as a resource to patients related to administrative duties

  • Explains typical insurance process to patients.

  • Supports therapists in acquisition of continued patient visits.

  • Contacts physician offices and payers in obtaining treatment referrals.

  • Scans or forwards appropriate documentation into system.

  • Monitors ongoing patient authorizations.



Performs billing, and data entry functions:


  • Creates and maintains an organized filing system for patient information and for billing data. Performs new patient pre-work prior to patient visit (script received and accurate, chart created, allegra informatin verified, visit reminder call).

  • Enters daily outpatient charges, monitors charge entry, and audits charges for accuracy.

  • Compiles and maintains database for monthly productivity statistics.

  • Maintains confidentiality of patient information following HIPAA guidelines

  • Maintains department inventory levels, restocks supplies and completes monthly environmental log.

  • Works with therapists to establish and maintain inventory with par levels.

  • Restocks patient supplies and cleans area after patient use to enhance patient flow.

  • Indentifies supplies that need to be ordered and advises the purchaser for the department.

  • Cleans equipment according to schedule.

  • Completes monthly DNV environmental log as assigned. Forwards to supervisor for review.

  • Other duties as assigned.


    Education/Experience Required:
    -Currently enrolled in high school training/or equivalent

    Knowledge, Skills & Abilities Required:
    Typing 30-40 wpm preferred -Basic PC experience. -Data entry. -Customer focused. -Good interpersonal skills. -Analytical problem solving skills to resolve scheduling conflicts.
    -CPR certified within 30 days of hire.

Physical Requirements and Working Conditions:
Ability to function in a high volume, multiple-task environment, and in a crowded or closely shared workspace.   

  • Exposure to ill patients.   
  • Ability to work under stressful conditions with demanding customers.  
  • Must lift up to 35 pounds without help. For patient lifts of over 35 pounds, or when patient is unable to assist with the lift, patient handling equipment is expected to be used, with at least one other associate, when available. Unique patient lifting/movement situations will be assessed on a case-by-case basis.
