Summary of Role:
The Sales Administrator is the operational engine behind Escalon’s People Operations harvesting team, directly supporting Escalon’s Business Development Managers (BDMs) who source new outsourcing opportunities from our existing client base. You keep the machine running smoothly — owning data collection, Salesforce updates, scheduling, and reporting — so the BDMs can spend their time in front of CEMs and clients, selling.
This role is ideal for a highly organized, detail-obsessed professional who is fast, accurate, and proactive. You are excellent with Excel, fluent with AI tools, and you take pride in clean data, sharp reports, and a calendar that runs like clockwork.
Specific Responsibilities:
- Act as the operational right hand to BDMs, handling the administrative, data, and coordination work that keeps their pipeline moving.
- Own Salesforce hygiene — create and update accounts, contacts, opportunities, and activities, and keep data accurate, complete, and current.
- Collect, organize, and validate sales and client data from multiple internal and external sources.
- Schedule and coordinate discovery calls, CEM meetings, and follow-ups across the BDMs’ calendars, and keep everyone on track.
- Build, maintain, and distribute reports and dashboards — pipeline, activity, forecast, and performance — for the BDMs and the CRO.
- Prepare meeting materials, proposals, and follow-up documentation, often on a quick turnaround.
- Use AI tools to speed up data entry, research, reporting, and document creation.
- Track key dates, renewals, and next steps, proactively flagging anything that needs attention.
- Coordinate with CEMs, internal subject-matter experts (SMEs), and delivery teams to gather information and keep handoffs smooth.
- Identify and implement improvements to sales-operations processes, templates, and workflows.
- Other Duties as assigned.
Experience and Skills Requirements:
- 5 + years in a sales administration, sales operations, or sales support role.
- Advanced Excel skills, including pivot tables, lookups, formulas, and data cleanup.
- Strong AI skills, with the ability to use AI tools for data, reporting, and document creation.
- Hands-on Salesforce experience — data entry, reports, and dashboards.
- Exceptional organization, accuracy, and attention to detail.
- Ability to juggle competing priorities across three BDMs and work with speed.
- Strong written and verbal communication skills.
- Proactive, reliable, and able to self-manage in a fully remote role.
