About this role

We are seeking a highly skilled and proactive Senior Executive Assistant to serve as a trusted partner to one of the organization's most respected and influential leaders. This is an exciting opportunity for a polished professional who thrives in a fast-paced, dynamic environment and enjoys being at the center of priorities, critical decision-making, and executive operations all while using sound judgment. This role will also have assigned and ad hoc duties needing attention. 

The ideal candidate brings exceptional judgment, executive presence, and the ability to anticipate needs before they arise. They will serve as a key advisor and gatekeeper, confidently managing complex priorities, balancing competing demands, and making thoughtful decisions that optimize executive time and organizational effectiveness. Success in this role requires a high degree of discretion, adaptability, and the ability to remain composed while navigating shifting priorities, tight deadlines, and sensitive matters.

This individual will operate with considerable autonomy, building strong partnerships across the organization while ensuring seamless execution of the executive's commitments. The role offers the opportunity to make a meaningful impact by influencing schedules, coordinating high-profile interactions, and helping drive business outcomes through exceptional organization, communication, and operational excellence.

This role is ideal for someone who enjoys operating at a high level, takes pride in delivering exceptional service, and is energized by partnering with leaders who set a high bar for excellence, accountability, and results.

Primary responsibilities include

  • Manage competing priorities simultaneously and in a timely manner.
  • Coordinates internal/external meetings, conference calls, and domestic/international travel.  Full oversight and management of the Executives calendar.
  • Displays excellent communication skills in working with senior leaders, clients (internal/external), and vendors.
  • Ability to function well in a high-paced environment; performs additional duties as assigned.
  • Reports and presentations as needed.
  • Accurately tracks expenses/process and submit expense reports in a timely manner.
  • Distributes agendas, meeting packages, and responsible for meeting minutes as needed.
  • Data entry/filing.
  • Oversight and management of small projects or tasks as dictated by the Private Bank Executive Office
  • Light office management tasks as needed (greeting visitors, arranging mail, assisting with office events and trainings).

 

Qualifications, Education, Certifications and/or Other Professional Credentials

Experience: 5 to 8 years of related professional experience, with a proven track record supporting high-level leaders or C-suite executives

Education: A Bachelor’s degree is highly preferred 

Core Competencies: Exceptional organization, proactive problem-solving, emotional intelligence, and strong verbal or written communication skills

Technical Proficiency: Strong command of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools like MS Teams, and Sharepoint. Experience with SAP Concur highly preferred

Hours & Work Schedule

  • Hours per Week: 40hrs per week
  • Work Schedule: M-F 8:30am-5:00pm PST (hybrid, 4 days in-office). Occasional after hours or weekend hours as dictated by Executive’s needs. 

Pay Transparency 

The salary range for this position is $48.50-$63.00 per hour. This is nonexempt position. Actual pay is based on various factors including but not limited to the work location, budget and relevant skills and experience.
