System Admin-Poseidon

• Ensures that the Freight system works as it was designed and sees to it that any incident is addressed immediately and effectively to limit work / business disruption. 

• Provides functional and technical support to all users from Freight, Finance and 3rd-party service providers using our Poseidon SMARTS application. Conducts training among new users. 

• Responsible for troubleshooting and resolving issues and escalates to IT and/or Softship the items needing their intervention.  

• Responsible for ensuring that Poseidon VOYCES contains the updated vessel schedules and only Authorized users are given access to the system.  

• Responsible for the conduct of periodical system integrity audits. 

What you’ll do  

Principal Duties and Responsibilities 

1. Poseidon Systems Administrator 

1. Managing system performance and troubleshooting issues. 

1.      Ensures that all required settings are properly set up in the Master Date, Configuration, and Base Applications. 

2.      Plans and coordinates fix installations, maintenance, updates and upgrades procedural modifications. 

1. Managing Poseidon user accounts. 

1. Creates users and program menus in the information systems to grant access rights. 

2. Activates access to approved new Poseidon users; sets up authorized access based on the user’s job function. 

1. Providing functional and technical support to users and resolving issues related to Poseidon system. 

1. Handles bug reporting. 

2. Ensures that all raised issues by end users are actively resolved to limit work disruption. 

3. Recommends solutions to all issues needing management attention or intervention. 

1. Implementing security measures to protect against unauthorized access and data breaches. 

1. Monitors users’ compliance and reports any irregularities found. 

2. Ensures that all required settings are properly set-up in the Configuration and Base applications. 

3. Ensures that all required settings in the system are properly set up for every quarterly release made by Softship. 

1. Collaborating with IT on system design and implementation projects. 

1. Review propositions for development or enhancement. 

2. Works closely with IT’s Application Development Management Team. 

3. Ensures that all needing management attention or intervention is properly escalated. 

4. Ensures that all new requests or changes in the system are well noted, reviewed, and escalated to management for proper review and disposition. 

5. Ensures that all approved requests for change are implemented according to specifications and delivered On time. 

II. VOYCES Administrator 

A.     Encodes updated vessel schedules in Poseidon VOYCES module. 

B.     Analyzes affected voyages due to re-routing, cancellation or delays of vessels and instructs CIC how to handle affected shipments. 

C.    Ensures all created and updated vessel schedules are correct and release the same to Poseidon LINE application. 

D.     Ensures that all VOYCES Coordinators across all branches are compliant with the timely and accurate updating of ATD and ATA of all vessels. 

E.      Designs reports that can be derived from Poseidon should Network Planning need data for research and analysis purposes. 

III. System Integrity Auditor 

A.     Conducts comprehensive assessments of Poseidon system, internal controls and organizational processes to identify areas of improvement and non-compliance. 

B.     Develops and implements audit plans to ensure the integrity of Poseidon system and data. 

C.    Collaborates with department managers and stakeholders to implement corrective measures in addressing identified issues. 

D.     Evaluates the effectiveness of existing controls and recommends risk mitigating strategies. 

E.      Conducts independent investigation of suspected fraud, waste and abuse. 

F.      Works with external and internal auditors, vendors, and partners as necessary to ensure compliance and integrity of Poseidon system and processes. 

IV. Poseidon Trainer 

A.     Conducts training of new users of Poseidon. 

B.     Assesses training needs of erring users and conducts refreshers. 

C.    Develops training programs for end-users, including training materials, manuals, and presentations. 

D.     Monitors and evaluates the effectiveness of training. 

You’ll thrive in this role if you  

Education, Professional 

·       Graduate of any four-year course preferably in Business Management or IT related degree 

Professional Experience 

·       Must have at least 2 years of experience in AR management / billing and collection
