About this role

Under the general direction of the Senior Director of Faculty Affairs and Records, the Contracting Support Coordinator provides independent operational support over faculty affairs functions, including contracting and pay.

This position is responsible for end-to-end administration and integrity of faculty lifecycle processes, exercising independent judgment in interpreting policy, resolving complex issues, and implementing procedural changes. The role operates with a high degree of autonomy and serves as a functional authority across Academic Affairs, Human Resources, Payroll, and external institutional partners.

The Coordinator is accountable for maintaining accuracy, compliance, and continuity of high-risk administrative operations during a period of institutional transition and closure.

This is a temporary, part-time position with an anticipated end date of April 2027.

MAIN RESPONSIBILITIES:

Program & Process Ownership (Contracting, Appointments, Records) - 80%

  • Provides full operational ownership of faculty contracting and pay. Work is performed using established templates, standard processes, and existing operational guidelines to ensure consistency and accuracy.

  • Independently interprets and applies institutional policy and collective bargaining agreements to ensure compliance.

  • Designs, implements, and adapts business processes in response to evolving institutional needs, including closure-related changes.

  • Ensures data integrity and audit readiness across all faculty systems of record (Workday and related tools).

  • Identifies complex issues related to faculty compensation, appointments, and contract discrepancies and Facilitates resolutions across functional areas in collaboration with faculty leadership and deans.

HR & Payroll Functional Liaison - 20%

  • Serves as liaison between Academic Affairs, Human Resources, AIS, and Payroll for faculty-related matters.

  • Independently administers salary changes, pay corrections, and compensation-related issues in accordance with established policies and standard processes. Coordinates with management on matters requiring review or approval and implements approved changes.

  • Ensures alignment between academic processes and HR/payroll systems, mitigating institutional risk.

MINIMUM REQUIREMENTS:

  • Highly developed skills in accuracy, detail, organization, and follow-through

  • Strong computer literacy with proficiency in collaborative digital workspaces; Google applications, Colleague, Workday, or similar

  • Ability to handle sensitive, confidential information with discretion, sound judgment, and diplomacy

  • Tactful communication skills appropriate to various audiences

  • Demonstrated success working with and manipulating multi-source data accurately using Microsoft Excel/Google Sheets

Preferred qualifications

  • Previous experience in faculty records, registrar, human resources, or academic administration 

Working conditions

  • This position is 100% remote and as such, requires the incumbent to work at a computer 100% of the time

COMPENSATION & BENEFITS:

  • The pay rate for this position is $39/hour

  • This is a non benefits eligible position

  • This is a part-time, temporary position at an average of 9 hours per week and an anticipated end date of April 2027.
