We are hiring an Accounting Team Lead to own our Accounts Receivable and Accounts Payable operations across our Healthcare and IT divisions. Our billing team handles invoice generation separately — this role picks up from there, taking responsibility for tracking what is owed, collecting payments, applying them correctly, keeping our books reconciled, and producing the reporting our leadership relies on. With approximately $7 million in monthly billing across multiple entities, this is a high-volume, reporting-heavy role that also requires direct coordination with our Payroll team and the ability to handle client and vendor escalations professionally, including working with our attorney when needed.
Key Responsibilities
Collections & AR Management
Take ownership of AR after invoices are issued by the billing team — track outstanding balances across all client accounts in Healthcare and IT.
Monitor payment due dates based on agreed net payment terms (Net 15, Net 30, Net 45, etc.) and follow up with clients before and after due dates.
Review AR aging reports regularly across all entities and prioritize collections on overdue accounts.
Coordinate with the billing team to resolve any invoice disputes, discrepancies, or client questions that are holding up payment.
Maintain accurate records of all client communication related to collections and payment status.
Payment Application & Credits
Record all payments received from clients and apply them to the correct open invoices promptly and accurately.
Apply credit memos, adjustments, and advance payments to the right invoices and keep client account balances up to date.
Identify and resolve unapplied payments, short payments, and mismatched remittances.
Reconcile all payment postings against bank deposits on a regular basis.
Payroll Team Coordination
Work closely with the Payroll team on a regular basis to keep them informed of any significant payment delays or collections issues.
Flag accounts where client payments are delayed so Payroll can plan accordingly and exercise caution around employee disbursements tied to those accounts.
Serve as the key point of contact between the AR function and Payroll to ensure cash flow visibility across the organization.
Reporting
Prepare weekly and monthly AR reports covering outstanding balances, collections status, aging summaries, and payment trends across all entities.
Build and maintain dashboards or summary reports that give leadership a clear picture of cash flow health at any given time.
Given the volume of billing (~$7M/month across Healthcare and IT), reporting accuracy and timeliness are critical — this person must be comfortable managing high volumes of data and producing clean, reliable reports.
Flag accounts or trends that indicate payment risk and escalate proactively to leadership.
Reconciliation & AP
Reconcile AR and AP balances across multiple entities regularly to ensure books are accurate and clean.
Manage vendor payments on the AP side and ensure invoices are paid on time per agreed terms.
Maintain compliance with company financial policies and applicable accounting standards.
Client, Vendor & Escalation Management
Read and understand client and vendor contracts to know the agreed payment terms and obligations.
Follow up professionally with clients and vendors via email and phone to resolve outstanding balances or account issues.
Handle escalations directly — able to communicate calmly and professionally with client contacts, vendor representatives, and internal stakeholders.
Prepare written documentation such as payment demand letters and account summaries to support our attorney if a matter requires legal action.
Team Guidance
Oversee and guide the AR team on daily tasks, ensure work quality, and serve as a resource for questions and escalations.
Set clear processes for collections, payment application, and reporting that the team can follow consistently.
Partner with leadership to improve accounting workflows as the business grows.
What We Are Looking For
Accounting Knowledge
Bachelor's degree in Accounting, Finance, Commerce, or a related field.
CA (Chartered Accountant) candidates or semi-qualified CAs preferred, though not mandatory.
Solid hands-on knowledge of AR collections, payment application, credit memos, reconciliation, and AP management.
Familiarity with US accounting standards (US GAAP) or Indian accounting standards (IGAAP / Ind AS) — both are acceptable.
Experience managing high-volume billing environments preferred; Healthcare or IT staffing background is a strong plus.
Experience working with multiple business entities or subsidiaries is an advantage.
Communication Skills
Very strong written English — this role involves regular professional email communication with
clients, vendors, and attorneys.
Comfortable writing collections follow-ups, demand letters, and escalation documentation clearly and professionally.
Confident in verbal communication for client and vendor calls and cross-functional discussions with Payroll and Operations.
Tools & Systems
Advanced Excel skills — comfortable building reports, pivot tables, and reconciliation sheets across large data sets.
Experience with accounting software such as QuickBooks, Tally, NetSuite, or similar.
Ability to handle high data volumes and maintain accuracy across multiple entities simultaneously.
