Job Summary
Support the smooth and professional operation of the Singapore office while providing practical HR Services support that contributes to a positive associate experience. The role coordinates workplace services, facilities, vendors, internal communication, associate activities, the Singapore associate relations calendar, associate relations budget management and Singapore intern program support, helping to maintain a welcoming, well-organized and service-focused office environment. The role also provides day-to-day guidance and oversight to the Receptionist, HR Services, Singapore, ensuring front-of-house services, visitor coordination, mail and courier handling, meeting room support, pantry coordination and routine facilities follow-up are delivered consistently. The role supports effective office operations, HR administration, associate engagement activities, records management, process coordination, people coordination and continuous improvement.
Key Responsibilities
Office Management and Workplace Services
- Coordinate daily office operations and workplace services, including oversight of reception support delivered by the Receptionist, HR Services, Singapore.
- Provide day-to-day guidance, prioritization and support to the receptionist, including escalation support for reception, visitor registration, incoming calls, general office enquiries, mail, couriers, meeting-room requirements, pantry coordination and routine facilities matters.
- Manage facilities, maintenance, office supplies and service providers, addressing issues promptly.
- Maintain vendor relationships and monitor service standards, expenditure and contractual requirements.
- Support office administration, including purchase requests, invoice follow-up, facilities requests, office supplies and market-specific projects as required, while partnering with the receptionist on visitor arrangements and related office logistics.
- Identify opportunities to improve workplace processes, service quality and cost effectiveness.
- Monitor the quality and consistency of front-of-house and common-office services, ensuring the reception and shared office environment remain professional, organized and presentable.
Associate Engagement, Events and Communication
- Create, maintain and execute the Singapore associate relations calendar, including office events, town halls, associate-engagement activities, leadership meetings and key communication milestones.
- Administer associate service awards, recognition programs and related documentation.
- Support Associate Relations events through venue, equipment and logistical coordination.
- Maintain the associate relations budget, including budget tracking, spend monitoring, purchase requests, invoice follow-up and regular updates to stakeholders on budget status.
- Contribute to newsletters, office announcements and other internal communication channels.
- Support a positive, inclusive and service-focused office environment for associates and visitors.
HR Services Administration and Records
- Manage and support onboarding arrangements, workplace orientation and associate queries.
- Maintain relevant office and HR Services records, procedures and compliance documentation.
- Support coordination of the Singapore intern program, including intern onboarding logistics, documentation, communication, program activities and related HR Services administration.
- Ensure appropriate document retention, access controls and confidentiality.
- Support the development and maintenance of standard operating procedures, templates and associate communications.
- Perform any other duties and responsibilities as reasonably assigned or instructed by the business as needed.

Candidate Profile / Experience Requirements
- Degree or diploma in Business Administration, Human Resources or a related field preferred.
- Relevant experience in office administration, office management, workplace services, facilities coordination, HR administration, intern program coordination or a similar operational support role.
- Experience providing day-to-day guidance, task coordination or supervisory support to administrative, reception, hospitality or office-services team members preferred.
- Experience coordinating vendors, purchase requests, invoices, office supplies, maintenance activities, associate events, associate relations calendars, budgets or workplace-related services.
- High level of proficiency in Microsoft Excel, Power BI, PowerPoint and other Microsoft Office applications and reporting tools, with experience in data analysis, dashboard creation, tracking and preparing management presentation decks and information.
- Ability to deliver presentations to Business Partners and other key stakeholders
- Excellent time management, communication, problem-solving, organizational and coordination skills, with the ability to manage competing priorities.
- High level of professionalism, discretion and confidentiality when handling HR Services matters and associate information.
